The College of Built Environments is home to over 100 active researchers, and over 65 Principal Investigators (PIs) across the five departments – Architecture; Construction Management; Landscape Architecture; Real Estate; and Urban Design and Planning. The Finance and Administration department has an outstanding opportunity for a supportive, self-directed and enthusiastic individual to support a variety of activities to ensure accurate financial statements, operational efficiency, timely ledger reconciliation, and CBE’s overall financial health. This role will ensure College leadership has the information necessary to make organizational and programmatic decisions. The Analyst will assist with, and in some cases lead, the design, development and oversight of the financial accounting, reporting and budgeting process to ensure consistency and the effective use of financial resources.
The College of Built Environments has an outstanding opportunity for an Analyst. The Analyst will receive minimal direction, will be expected to work independently and have excellent judgment with knowledge and understanding of a breadth of financial processes which may include budgeting, grant proposal preparation and submission, payroll, purchasing, and financial reporting. They must communicate and work effectively with a broad spectrum of people both on and off campus, including multiple levels of university officials, faculty, staff, funding agency officials, federal and state employees, private business, community organizations and foundation sponsors and their representatives. Strong interpersonal skills are required to work closely with a variety of stakeholders. They will need to be nimble, efficient, flexible, and collaborative but also work within university regulations.
The Analyst must be capable of managing multiple priorities with frequently tight deadlines skillfully, reliably, and accurately while demonstrating discretion and independent judgment in all areas of operation. Input and demand may come from multiple directions, people, organizations and activities and complexity is amplified by competing priorities that are presented many times during a day. Managing this breadth and complexity requires a good working relationship with college leadership and members of their teams; ability to explore and problem solve; the demeanor to welcome the unexpected; resilience and stability in a variety of situations; an ability to maintain an optimistic outlook; a capacity and desire for innovation; and a willingness to embrace change and process improvement.
Financial management, oversight, and accountability are key to the University’s reputation and trust with the students and the public for well managed institutions. As the UW moves to Workday Financial, this role will be key in preparation and stabilization for the College and the future state
Finance Management
Use independent judgment, analysis, and discretion to complete finance functions for faculty, staff, and students. Review, maintain, and respond to UW Connect queries on behalf of CBE Finance Provide College-wide Finance business process consultation and develop policy/procedure as needed Provide oversight and processing of financial transactions including travel and non-travel reimbursements; accounts payable and receivable, procard reconciliation; payroll costing allocations, journal vouchers, budget reconciliation and reporting Provide oversight and understanding of service agreements and billing Understand and be proficient in the complexities procurement and budget management with regard to UW, state, and federal guidelines and the varying funding types for state, federal, gift, sponsored project, and revenue accounts Understand the organizational complexities of the academic and non-academic units served, including academic departments, administrative units, and labs/centers and how those units fit within the broader College context. Attend and participate in College and campus-wide finance meetings and committees, including UWFT preparation and training. Attend and participate in all CBE-FAO specific team meetings and cooperatively work with other members of the CBE-FAO team to provide quality customer service for all in the College. Attend and participate in Workday training related to job functions. Complete all relevant Workday assessments successfully. Serve as a problem-solver for budget/finance issues. Partner with the Assistant Dean of Finance & Administration, Research Administrator, and HR Administrator as needed to assist faculty and staff with challenging issues and complex inquiries. Provide quality control to both the standard process and to documents; develop filing system and naming conventions. Recommend process improvements regarding the College’s Shared Services processes, quality control, and ticketing system. Write, analyze, and revise College finance resources and guidelines as needed. Write, analyze, and revise templates which serve to streamline processes and increase consistency.
Special Projects and Office Assistance
Assist Assistant Dean of Finance as needed with finance projects Participate in UWFT planning, training, and education pre and post-launch Identify and recommend process improvements regarding the College’s Shared Services Team’s Finance process, quality control, and ticketing system. Greet and direct visitors and provide general office support as needed. Other duties as assigned.
Qualifications:
Bachelor's Degree At least two years of experience working in some aspect of accounting, preferably in a higher education institution Demonstrated knowledge of finance policies, procedures, and best practices Proficiency in Microsoft Word, Excel, Outlook, and ability to learn new software as necessary to do the job. Strong research skills to gather information, communicate it effectively to others, and take appropriate action on behalf of others. Demonstrated commitment to valuing diversity, and contributing to an inclusive working and learning environment. Ability to communicate verbally and in writing in clear, diplomatic, and effective ways with a variety of colleagues and partners, and to maintain effective working relationships. Independent worker with the ability to collaborate on team projects. The ability to analyze needs, assess potential avenues, and implement creative solutions to ensure the steady, high-quality delivery of financial services. Ability to communicate verbally, and in writing in clear, and effective ways with a variety of audiences Highly organized, with a demonstrated ability to multitask in an organized and efficient manner. Demonstrated attention to detail and passion for accuracy. Equivalent education/experience will substitute for all minimum qualifications except where there are legal requirements such as license/certification/registration.
Desired Qualifications:
