The Advancement Coordinator is a critical position in the integrated School of Public Health Advancement team. This position works collaboratively with the Associate Dean for Advancement, advancement officers, marketing and communications colleagues, academic department leadership, staff, volunteers and campus partners.
The Advancement Coordinator provides oversight of day-to-day operations of the SPH Advancement team, including select administrative functions. The Advancement Coordinator acts the event lead for the SPH Advancement team; managing event logistics and vendor contracts for stewardship and cultivation events. The Advancement Coordinator provides stewardship functions including donor acknowledgment, recipient coordination, impact reporting and gift and budget tracking. The Advancement Coordinator is often the first point of contact for existing and potential donors, including family members of donors/potential donors. The Advancement Coordinator serves as a liaison between SPH Advancement and other units and individuals at the University, including but not limited to the offices of the President, Provost, Dean, Department Chairs, Program Directors and individual schools, colleges and programs.
Customized Donor Stewardship Tracking, Reporting, and Acknowledgment Manage donor stewardship and recognition activities including managing coordination of donor stewardship meetings, creating and managing a tracking system for the Office of the Dean and department level gift awards, gathering information from departments about gift use, collaborating on fiscal stewardship and compliance, procuring thank you letters from student and faculty award recipients, crafting and disseminating donor impact reports, and other tasks as assigned.
Create and develop reports, presentations, project analyses, graphics, spreadsheets, and other stewardship documents as needed. Work in collaboration with the Advancement Team to streamline existing processes and policies, and create new ones, that impact stewardship and the donor experience.
Serve as the primary liaison to the Central Advancement team regarding the Consolidated Endowment Fund reports, pledge payments, and other stewardship projects. Attend campus stewardship meetings.
Manage gift processing and donor acknowledgment process for the School. Communicate with academic and administrative directors of gifts to their area in a timely manner, and monitor any outstanding gift pledges. Report weekly gift activity to Advancement team and monthly gift activity to the departments. Produce donor acknowledgement letters and assign follow up phone calls from the Dean, Associate Dean for Advancement, Director for Philanthropy, or Assistant Director for Philanthropy.
Volunteer Management Serve as first point of contact to volunteers, including disseminating communications on behalf of the School and the Advancement team and answering questions. Manage logistics for the SPH Advisory Board, including meetings throughout the year. Play an active role in the recruitment process of new volunteers and input on the strategic direction and leverage of the volunteer group.
Events Management Manage and evaluate virtual and in-person SPH Advancement events, averaging 5 major events per year (not including volunteer or smaller stewardship events). These events and activities are designed to steward and cultivate donors and can have strategic fundraising goals. Overall events range in size and complexity from a major annual recognition event to receptions and small meetings.
Event tasks include, but are not limited to, securing venues, developing guest lists, creating invitations, managing event registration, arranging parking/transportation/security, setup/tear down, sourcing and contracting caterers and vendors, menu selection and décor. Develop, manage and authorize expenditures for annual event budget, negotiate vendor agreements to maximize budget, and oversee budget tracking. Monitor and reconcile budget expenditures.
Strategize and implement methods of evaluating special events for fundraising outcomes, satisfaction levels and improvement opportunities. Working with Advancement team members, as needed, develop and prepare broad-based reports, dashboards, proposals, and donor or event briefings.
Work with the Director of Marketing and Communications, graphic designers and printers to develop virtual and physical event related materials and publications. Manage the development of event related materials and publications. Attend campus event management meetings.
Advancement Services Partner with Advancement leadership in the annual planning process, creating a quarter-by-quarter planning document keeping the advancement team on track related to quarterly development activities.
Act as lead for advancement data list pulls, creation of correspondence, mailing logistics and gift tracking. Utilize UWA adopted software programs such as Advance, Marketo, Cvent, Reportal, BI Portal,and MyFinancial Desktop and Tandem to create mailing lists, conduct research, and prepare various reports and presentations.
Provide budget oversight, reconcile budgets and create projections or other fiscal reports as needed. This includes managing and reconciling monthly University Procurement card accounts for the advancement team.
Maintain accurate, confidential SPH Advancement files in accordance with UW policies and regularly update donor information in Advance.
Keep department and program level colleagues up-to-date on new and amended gift agreement language and fund balances, to assist with timely fund distribution.
Coordinate ad-hoc projects, as needed, requested by the Associate Dean of Advancement.
Plan, assign, and review the work of support staff and student workers.
Lead Responsibilities: Donor stewardship, event management and promotion, policy/procedure development, administrative operations.
Minimum Requirements: Bachelors degree and at least 2 years in events management, marketing/communications, advancement or progressively responsible administrative experience.
Independent decision making, strong attention to detail, and ability to maintain confidentiality.
Proven ability to successfully manage and prioritize multiple projects and requests at once.
Ability to work in an organized and professional manner under multiple deadlines Excellent customer service skills.
Excellent written and verbal communication skills with special attention to spelling and grammar.
Strong interpersonal skills.
Ability to interact professionally with university students, faculty, staff, and the public.
Proficiency with Microsoft Word, Excel, and PowerPoint for correspondence, special reports, spreadsheets, databases, forms, etc.

Equivalent combination of education and experience from which comparable knowledge and skills have been acquired may substitute for degree.
