The Admissions Counselor role is an entry-level position in the Office of Undergraduate Admissions. As a front-facing role, this position has direct interaction with prospective students and families, and works with the Visit Experience team on many of the daily operations of the new Sumers Welcome Center including planning and implementing daily visits and assisting with special events. This role also supports projects for the recruitment and selection of prospective students. Serving in this role requires great communication, presentation, and customer service skills. Minimal travel may be required.
Primary Duties & Responsibilities
Conduct information sessions for prospective students and families. This includes learning, comprehending, and retaining extensive knowledge about the WashU student experience and admissions policies, and being able to present content in an engaging and informative way. Occasionally, Admissions Counselors will be asked to help produce and/or update content for the information session.
Coordinate and staff the visit experience. Create personalized itineraries for visiting prospective students including scheduling appointments with campus partners. Staff the lobby, conducting the greeting and welcome experience for all who enter Sumers Welcome Center. Conduct interviews and family meetings with prospective students. Be available for âœpop-inâ and Q&A in the Greeting Center lobby. Support visit experience by managing day-to-day tasks of student staff serving in the Sumers Welcome Center. Student staff may serve in roles that include greeters; shadowing experience hosts; and logistical support including creation of daily lanyards and/or visit packets. Ensure the Welcome Center is adequately stocked with materials to support the experience.
Support Undergraduate Admissions initiatives through coordination of special projects including:
Special Group Visit Coordination. Group visitors include high school groups and Community Based Organizations serving access and special populations. The Admissions Counselor serves as the point of contact to schedule group visits including coordinating and developing content for information sessions, campus tours, and other on-campus activities geared toward the specific interests and needs of the special group. This requires managing a large volume of information and detail; during peak season, many events will be happening simultaneously.
Support the logistics of overnight hosting by tracking student host volunteers and matching them with visitors according to availability and other criteria.
Support the logistics of the Bear Lunch Bunch and/or Bear Buddies shadowing programs by tracking student volunteers and matching them with visitors according to availability and other criteria.
Support the logistics of the Interview program by matching interview requests with interviewers from all parts of campus.
Work with the Digital Communications Strategist in Marketing & Communications to produce content for official and all related Undergraduate Admissions social media accounts. Knowledge of the following platforms is required: Instagram; Twitter; Facebook; YouTube; TikTok, and Snapchat.
Support the recruitment and selection efforts of Undergraduate Admissions. Staff all on-campus special events. Attend local recruitment events, such as high school visits and college fairs. Occasional travel to a national recruitment event may be required. This role will also require some application review and evaluations; and data-entry and consolidation into Slate, CRM.
Perform other duties as assigned.
Attendance at on-campus events.
Events may occur during normal business hours, or in evenings and weekends.
Overtime will be required.
Occasional travel to off-campus events may be required. Less than 10% of time.
Familiarity and/or experience with specialized computer programs, such as CRM technology, is helpful, though not required.
Basic understanding of the function of the departmental office is ideal.
Fluency in second language.
Expertise with Microsoft Office, social media platforms, and other technology platforms.
Excellent customer service and communication skills.
Must have attention to detail.
Must be able to balance many tasks at one time.
Must be a team player and work with a positive attitude and is willing to work in a fast-paced, dynamic, changing environment.
Superior writing, presentation, organizational, and interpersonal skills.
Familiarity with Excel, MS Word, PowerPoint strongly preferred.
Flexibility and the ability to work in a team environment are essential.
Ability to be able to effectively prioritize multiple projects, in a high-paced environment.
Organizational and written/oral communication skills.
Ability to communicate effectively with internal and external constituents including students, faculty, administrators, parents, alumni, vendors, and others.
Ability to work effectively as part of a team and independently.
Ability to maintain and manage confidential and sensitive information.
Understanding of the importance of data capturing and record keeping to contribute to the overall success of Undergraduate Admissions.
High school diploma or equivalent high school certification and four years related experience or a Bachelorâ™s degree.
Expertise with Microsoft Office, social media platforms, and other technology platforms.
$18.36 - $28.47 / HourlyThe salary range reflects base salaries paid for positions in a given job grade across the University. Individual rates within the range will be determined by factors including one's qualifications and performance, equity with others in the department, market rates for positions within the same grade and department budget.
