The College of Education offers Bachelor of Arts degrees in three undergraduate majors (Early Care and Education, Early Childhood and Family Studies, and Education, Communities, and Organizations) and has a proposal pending for a 4th major in Education Studies. The college also shares a minor in Education, Learning, and Society with the College of Arts and Sciences. These undergraduate programs comprise about 42% of the college's enrollment and include 150 courses offered annually. Our graduates will create and promote justice and equity in communities and educational systems.
We have an outstanding opportunity for a full-time temporary Program Coordinator. This position will provide general administrative and operational support to the staff in the Office of Student Services and the Undergraduate Programs including, but not limited to, admissions, student support, enrollment and registration, and events.

DUTIES AND RESPONSIBILITIES: •Monitor and respond to general prospective and current student inquiries by phone, email and in person, triaging as needed •Assist advisors in the provisioning of information to prospective and current students, triaging as appropriate •Provide support to the admissions process, to include organizing/scanning/routing/auditing forms, transcripts, and other materials •Receive, sort, and manage current student documents, provide information on next steps and routing to appropriate staff as appropriate •Answer and triage registration requests to undergraduate advisers, assist with add codes and conduct routine course auditing •Provide coursework information for prerequisite courses and non-degree enrollment •Support Time Schedule construction, monitor enrollment, update student groups, communicate course changes to students as needed •Reserve classrooms and conference rooms as needed for all quarters where classrooms have been assigned •Assist with the data entry of reimbursement and hiring requests in college databases •Provide general assistance with and maintenance of Canvas, college course and student databases and other information repositories, websites, and communication listservs •Support events as directed, including recruitment and prospective student events, student orientations, capstones graduation, etc •Assist with data entry and maintenance in support of community-based learning placements across programs •Assist with special projects as assigned •Other duties as assigned
MINIMUM REQUIREMENTS: High school graduation or equivalent AND two years of experience in a customer service-oriented position OR equivalent education/experience. Experience supporting undergraduate academic programs and/or students. Familiarity with standard computer software applications for word processing, spreadsheets, and database/web systems. Additional requirements: •Demonstrated strong organization skills, ability to multi-task and prioritize, and attention to detail. •Demonstrated positive customer service attitude with strong problem-solving skills. •Strong written and oral communication skills. Proven ability to create, edit and proofread documents and communications for both external and internal audiences using multiple source documents with high degree of accuracy. •Self-starter with demonstrated initiative in anticipating and resolving complex problems. Ability to learn quickly and to apply learnings from one situation to similar situations while also recognizing and responding to differences. •High degree of proficiency in Microsoft Office suite – including Word, Excel, PowerPoint and Outlook – to perform tasks such as: incorporate edits to a document that have been provided by multiple individuals, integrate text with graphics and create and edit spreadsheets. •Strong collaborative skills and demonstrated ability to work as part of a team. Willingness to take on tasks as needed and to work in group settings to identify and implement workflow improvements. •Demonstrated experience in handling the logistics of setting up meetings or other events, ensuring requirements are met and overseeing day-of-event activities. •Proven ability to handle confidential information with a high degree of tact, judgment, discretion and diplomacy. An equivalent combination of education and experience may substitute for stated requirements.
Desired: Bachelor’s degree. Working knowledge of UW policies, procedures, and systems. Experience working with a UW undergraduate and/or graduate academic program. Ability to communicate effectively, verbally and in writing, with University faculty, students and staff. Demonstrated customer service and independent problem resolution skills. Demonstrated experience as an active and collaborative support team member. |
