The Registrar Generalist is a key contributor to student success by assisting with inquiries and engaging in student outreach. This includes answering student phone calls, responding to email, and contacting students to help them navigate the processes critical to their success; and responding to the needs of a diverse campus community including faculty, staff, and agencies in a timely, professional, and courteous manner.
The Registrar Generalist develops and maintains knowledge to assist with the evaluation of transfer credit; establishment of transfer credit equivalencies; the building of courses; space reservations; maintenance of student records; review of student records for graduation; support for the application and registration process for non-Degree students; and review of forms for reconciliation.
The ideal candidates will demonstrate flexibility and adaptability, attention to detail, and the ability to prioritize in a high volume and deadline driven environment to fit the operational and student service needs of the organization.
Responsibilities include:
Consult with staff, faculty and students regarding complex matters that affect academic records and University Policies
Assist in keeping the websites and publication materials up to date and easy to navigate
Work with team leads to evaluate and improve existing business processes
Develop documentation on all aspects of the job for historical and training purposes
Process request forms submitted by students
Maintain student record files
Explain university policies and automated processes
Review graduation applications to ensure students are on track to complete their degree requirements
Connect with students to support their timely application for degree completion
Evaluate student records for degree conferral
Assist with verification ACT48, licensure and enrollment verification requests
Review registrar forms, non-degree applications, and support course registration where applicable
Support students in navigating the university forms and processes
Update student records accordingly based on documents provided by students
Review incoming transcripts, process transcript evaluations and apply University policy for award of transfer credits
Assign transfer equivalencies using the equivalency database
Process transfer credit appeal and permission forms
Meet individually with students, as needed, to assist with complex transfer credit issues
Assist the development and implementation of a continual transfer equivalency review process
Build course equivalencies in systems
Front desk and reception phone coverage
Assist with commencement activities
Follow federal (FERPA) and institutional policies and guidelines
Process event requests in general purpose classroom and conference spaces based on policies regarding room usage
Coordinate the use of campus rooms with Academic Affairs and other divisions
Deliver and improve training to administrative and academic staff on 25 Live
Assist with processing course schedule changes each semester
Support Faculty and student ADA accommodations, campus weather emergencies, room capacities, technology, and responding classroom assignment issues
Act as the first point of contact for questions regarding final exam scheduling
Minimum Qualifications
Three years of advanced clerical or para-professional work which included the collection, recording, compilation, and presentation of office management or program related information, or any equivalent combination of experience and training OR
An associate degree may be substituted for two years of required experience
Demonstrated proficiency in Microsoft Office Programs including Outlook, Word, and Excel
Preferred Knowledge, Skills, and Abilities
Knowledge of the basic principles and practices and the respective standards of measurement applied within a management discipline
Ability to use a computer to collect, compile, and assemble data and reports
Ability to perform detailed work involving written information by preparing reports of finding according to the appropriate standards of content, clarity, grammar, and format
Ability to develop and maintain effective working relationships with associates in the performance of work
Ability to analyze varied data by applying the information against interpretative standards in the formulation of recommended action
Ability to identify problems and recognize appropriate solutions as a result of the analysis of data
Preferred Qualifications
Customer service / student support experience
Experience working in a fast-paced office environment
Experience using higher education technology including OnBase, PeopleSoft, 25Live, Pro Event and Course Scheduling Software, Parchment, Comply/Act 48, Navigate and College Source
