Assist the Office of Student Conduct and Community Responsibility and the Associate Dean of Students by performing administrative duties and administrative detail, as well as clerical support within the Office of Student Conduct & Community Responsibility.
Position Specific Responsibilities/Accountabilities:
Use tact and diplomacy when answering and screening telephone calls from individual inside and outside the University; take messages, refer calls and provide information as appropriate. Track and log all conversations.
Exercise judgment in setting up appointments and meetings; collect or prepare meeting materials.
Maintain appointment calendar for the Associate Dean of Students.
Maintain conduct files.
Answer routine to difficult questions from callers and visitors; provide accurate information in a professional manner.
Provide students with necessary information regarding the conduct process, the appeals process, as well as the Student Conduct Code and the Family Educational Rights and Privacy Act.
Compose letters and reports with oral direction or notes; distribute as directed.
Provide assistance to the Associate Dean of Students with various correspondences, training notebooks and inputting decisions into Advocate.
Prepare study abroad applications for Associate Dean review and process in the online system.
Process background checks submitted to the Department of Student Conduct & Community Responsibility.
Compile and type various reports for the Office of Student Conduct & Community Responsibility.
Maintain a complete filing system for Student Conduct & Community Responsibility and the Associate Dean of Students; research files upon request.
Assist with the coordination and scheduling of meetings and events related to
Student Conduct & Community Responsibility, Search Committees and Student Affairs events, including New and Returning Conduct Officer Trainings and the Intercollegiate Conference.
Coordinate travel arrangements and accommodations for the Associate Dean of Students and visitors (candidates, speakers} to the University, as requested.
Assist with general office tasks.
Work on special research projects for the Office of Student Conduct & Community Responsibility as assigned.
Provide administrative and clerical support to the department.
Handle confidential information regarding personnel, technical and controversial matters and affairs of personal delicacy.
Input items into and maintain the Advocate system in conjunction with the Associate and Assistant Directors for Student Conduct & Community Responsibility, creating online cases and managing files. Assist in maintaining and updating Advocate database.
Receive sanctions submitted to Student Conduct & Community Responsibility
and forward to Graduate Assistant for processing.
Assist Associate Dean with monitoring Student Conduct & Community Responsibility budget reports.
Assist in providing the Associate Dean of Students with the appropriate background information to complete background checks both internal and external.
Assist with and coordinate all conduct follow-up on a daily basis.
Manage the day to day happenings of the office in person, by telephone, and on-line.
Assist the department in the process of maintaining Title IX compliance.
Perform other duties as assigned or requested.

Requisite Qualifications
Typically, a Bachelor's Degree or equivalent experience. Incumbent will be expected to continue upgrading knowledge, skills, and abilities needed to keep abreast of regulation/policy changes.
Minimum four years of progressively responsible administrative support and general office experience, preferably in public service, college or university environment.
Demonstrated knowledge in the areas of judicial affairs operations and procedures, FERPA, university judicial systems and web-based technology.
Exemplary oral and written communication skills. Excellent organizational skills. Excellent customer service skills.
Familiarity with issues of confidentiality and exercising sound judgment with sensitive materials.
Demonstrated computer competency and knowledgeable of Microsoft applications including Word and Excel.
