The Heinz College of Information Systems and Public Policy consists of two schools, the School of Public Policy and Management and the School of Information Systems and Management and offers an academic experience unlike any other. We are seeking an Administrative Coordinator who is organized, culturally adaptable and enjoys a wide range of administrative tasks supporting the offices of Diversity, Inclusion, Climate and Equity (DICE), Student Affairs, Academic Services and Marketing & Communications. In this role, you will work collaboratively with multiple dynamic teams and provide comprehensive administrative support to ensure efficient execution of tasks, programming, and events. The individual in this role will report to the Assistant Dean of DICE.

Your core responsibilities will include:
Serve as the first point of contact for DICE, Student Affairs, Academic Services, and Marketing and Communications; this can include being charged with front desk duties to address student questions and assist visitors.
Support of the DICE Office includes:
Working with a collaborative team which includes the Assistant Dean and Assistant Director of DICE, as well as a student team on planning and driving DICE related events, cultural celebrations, initiatives, and programming.
Managing the scheduling of in-person and virtual meetings, which can include coordinating availability of all parties, room reservations, catering food, attending, and taking notes, helping with set up and break down in a timely manner
Coordinating and performing varying parts of event planning which can include, all vital tasks related to catering, room reservation, printing of signage and posters, making purchases and looking after contracts and travel arrangements, and helping with set up and break down in a timely and organized manner.
Assisting with the onboarding of DICE student team, processing hiring paperwork, communicating with the team, scheduling meetings, helping with orientation.
Some evening and/or weekend hours may be required
Student Affairs and Academic Services support includes:
Assisting with lunch-time events for students and faculty
Acting as a secondary point of contact for student activities committee members.
Assist with room reservation requests for Heinz College affiliates in an accurate and timely manner.
Marketing and Communications support includes:
Processing expense reports and travel reimbursements
Assisting with purchases and working collaboratively with campus partners to ensure that payments for work are made in a timely manner to protect important vendor relationships
Scheduling and coordinating meetings/events and ensuring that all needed resources (i.e., conference rooms, meals, phone, etc.) are available.
You must demonstrate:
A high level of cultural responsiveness, organization, planning, problem-solving and reasoning skills and
Excellent customer service skills and the ability to communicate and interact with external audiences and the campus community at all levels in a fast-paced environment, remaining professional under pressure
Ability to multitask and prioritize; excellent time management skills and ability to meet inflexible timelines
A high degree of technical proficiency in core MS Office applications, particularly MS Excel
