Reporting to the Provost, the Executive Assistant provides administrative, technical and supervisory support through a broad array of duties and responsibilities to sustain the role of the Provost and the operation of the Provost's Office in a highly detailed and responsible manner. The Executive Assistant will interface with a wide variety of diverse internal and external constituencies requiring considerable discretion and confidentiality. They will collaborate frequently with staff in the offices of the President, General Counsel, Human Resources, Finance, and deans of Student Affairs and the Colleges and must be able to quickly adapt and thrive in a fast-paced environment with competing demands. The incumbent is a servant leader who oversees administrative matters with minimal guidance and assumes responsibility, works autonomously, uses independent judgment on Provost's office matters and works consistently and frequently with highly confidential material.

Job Duties:
Manage and lead all aspects of confidential and complex actions and projects on behalf of the Provost and their direct reports. Items include, but are not limited to, operations of the Office and workflow management; preparation of confidential documents related to appointment and other personnel matters; managing calendars for the Provost; assisting in policy/procedure development or revision; problem-solving, fact-finding, and background research; data collection and analysis; special events planning or assistance (e.g. Convocation, Faculty Recognition dinner, etc.); development of communications; and ensuring timely and responsive correspondence with a variety of constituents (faculty, staff, students, parents, Trustees, alumni, etc.).
Provide high-level support for the Provost, including travel and meeting arrangements for University- and Provost-level events and programs.
Manage projects, keeping track of initiatives and ensuring their advancement.
Ensure successful day-to-day operations of the office by managing and mentoring Provost Office staff, including Executive Interns, administrative/executive assistants to the Deans of the Colleges, and academic assistants as needed.
Oversee administrative support for governance committees, such the Faculty and Academic Personnel Committee and the University Review Committee.
Manage office records, confidential personnel files and e-files for faculty and the administrative/professional staff who report to the Provost.
Maintain high levels of confidentiality on sensitive issues and on all matters related to relationships with the Provost Office staff and key constituencies, including student and faculty matters
Actively contribute to Bucknell's efforts to foster a diverse and inclusive campus community through intercultural humility.
Support and promote the University's DEI and sustainability efforts to protect, maintain, and increase the long-term viability and resilience of the University's employees, environmental, social, and economic support systems.
Perform other duties as assigned.
Minimum Qualifications:
Associate's degree;
Technical proficiency in relevant applications such as MS Office (Word, Excel, PowerPoint), Google Suite, and HR related software to effectively gather, interpret, organize, and present data and information
Minimum of 5 years of related senior level administrative, budget, project management and financial management experience
Other Qualifications:
Demonstrated ability to work effectively under pressure, with little day-to-day direction or supervision
Ability to work on multiple projects simultaneously in a deadline-driven environment
Demonstrated ability to maintain strict confidentiality and exercise good judgment in the discharge of all duties
Excellent problem solving and organizational skills
Excellent written and verbal communication skills
Ability to relate tactfully and diplomatically to a wide range of constituencies, including students, parents, faculty and Trustees
Demonstrated information-gathering skills
Interest in continuous enhancement of information technology skills, as well as other professional development
Ability to maintain a flexible schedule, working occasionally on evenings and weekends.
A proven collaborator who can influence and establish trust with campus partners while working effectively within a complex and diverse organization

Salary Range: This is a Staff Exempt position with a hiring range of $52,500 to $65,625. The offer rate will be based on a review of the candidate's credentials compared to the qualifications of the position, internal equity, and our overall compensation philosophy.
