POSITION OVERVIEW: This position is responsible for managing day to day resources and services at the Coffman Memorial Union Welcome Desk and Student Group Resource Center and working collaboratively with the Interim Building Services Director to propose and implement additional services for students and the campus community. Responsibilities will include providing support to general patrons of the building (event guests, staff, faculty and students) for building services, student group support, wayfinding of the building and campus, promotion of special events, general university information and student involvement opportunities. Works with their supervisor regarding on-call shifts to support student staff, which may include evenings and weekends. This position reports to the Interim Building Services Director. The salary for this position is $43,000 - $48,000, depending on qualifications.This position will be primarily on campus, however, may have the opportunity to work remotely on occasion.
Responsibilities: Resource and Service Management (40%) - Oversee the planning, implementation, and operations of the Student Group Resource Center, for Coffman Memorial Union and the St. Paul Campus - Oversee the planning, implementation, and operations of Welcome Desk Services for Coffman Memorial Union and the St. Paul campus in the pre-planning, construction, and reopening phases of the renovation - Plan, forecast, monitor, and allocate an annual budget in excess of $175,000 for the operation of the Welcome Desk and Student Group Resource Center. - Manage ongoing conversations around meeting the needs of diverse student and patron populations - Develop plans and strategies to enhance sense of belonging and an inclusive student experience for diverse populations - Advise and consult with student group leaders on registered student group events, resource management, conflict resolution, problem solving, event planning and risk management. - Work with colleagues in Student Unions & Activities to offer programs, resources, and services to support an inclusive and diverse University community, including students, guests, staff, and faculty. - Coordinate assessment and evaluations for all resources and services - Develop instructions and educational materials in event planning and resource management for student group leaders and advisors. - Stay current on event needs and best practices as they relate to college student programming and venue managers. - Work with supervisor on on-call shifts for special events - Oversee the request, billing, and reconciliation processes for resource center supplies
Supervision (30%) - Supervise and support up to 30 entry level student employees, in the staffing and management of the Welcome Desk’s and the Student Group Resource Center’s operations - Guide and coach students to respond to client and patron questions and needs. Provide opportunities and assistance for students to develop leadership skills, organizational skills, communication practices, and experiences working on teams and with a diverse group of people - Supervise, support, and develop up to 4 student leaders in intermediate and advanced level positions - Utilize inclusive practices to recruit, train, and retain student employees
Communication and Marketing (20%) - Produce and distribute email communications aimed at increasing departmental awareness of building services - Produce and distribute email communications to University departments aimed at identifying and strengthening partnership opportunities - Collaborate with Marketing department to plan and implement promotions, wayfinding, signage, etc. for building services - Manage a system for tracking and organizing student group supply inventory. - Develop ongoing communication practices and expectations between student employees and student group leaders - Assist in student outreach and community-building efforts through tabling, departmental partnerships, and workshop facilitation.
Other Duties and Projects as Assigned (10%)
Required qualifications: Bachelor’s degree plus at least two years of relevant experience, or a combination of education and experience to equal six years. Candidates must demonstrate excellent written and oral communication skills, creative problem solving, and relationship building capacity, along with a strong customer service orientation.
Preferred qualifications: Knowledge or experience working with students in a student union or university environment. Knowledge or experience with student groups in a university environment.
