POSITION DETAILS
Under the general supervision of the Deputy Director the Assistant Director for Outreach & Partnerships (ADOP) of the CUNY Mexican Studies Institute (CUNY MSI) will provide administrative and program support to this administrative and academic institute, by coordinating department operations and assisting in its management. The ADOP will assist in developing and implementing plans and goals for the Institute, work closely with the Academic Director, Deputy Director, Assistant Director for Finance Operations & Finance, and Assistant Director for Academic & Student Services. Work with the Director and Deputy Director to coordinate and supervise daily operation, and ensure compliance with regulations and internal policies. The ADOP will be responsible for creating schedules, assigning, training, and supervising staff members, interns, and volunteers.
In addition, the ADOP will be responsible for overseeing the Institute???s Media Relations, the Educational Opportunities Initiative, and Alumni Relations operations and management of its budgets, and preparing and generating financial reports on a regular basis to different stakeholders. The Assistant Director for Outreach & Partnerships should be able to prepare complex statistical reports and related charts and graphs. Be able to draft grant proposals, to procure funds from different City Agencies, and International Foundations.
Other duties will include but are not limited to the following:
Oversee the Educational Opportunities Initiative, Media Relations, and Alumni Relations
Assist in the supervision of the CUNY MSI staff
Assist in researching and writing for the various grants funded by the city, state and other sources
Aid with major events such as Annual Conference, symposia, workshops, etc.
Demonstrate ability to apply a sound knowledge of best practices related management of files and records, including preservation and protection (familiarity with FERPA guidelines)
Responsible for the facilities reservation of sites for workshops throughout CUNY, CBOs, and Mexican Consulate
Developing, implementing, and maintaining strategic vision for increasing the presence of the Institute throughout New York City
Creating new and maintaining current partner relationships
Evening hours and some weekends are required
QUALIFICATIONS
Bachelor's Degree and four years' relevant experience required, Master's preferred.
Candidates will be required to provide proof of being fully vaccinated against COVID-19 upon commencing employment. Exemption (medical or religious) requests to this requirement will be considered in accordance with applicable law. Being fully vaccinated is defined for this purpose as being at least two weeks past their final dose of an authorized COVID-19 vaccine regimen. Detail oriented with strong organizational, writing and editing skills in English and Spanish
Experience supervising office staff; demonstrated ability to work as a team player
Ability to work well in student-centered, time-sensitive, dynamic and responsive office
Computer proficiency using standard office software programs and applications
Familiarity with PeopleSoft/CUNY First management of requisitions
Bookkeeping and advance MS Excel knowledge
Fully bilingual Spanish/English
