The Department of Biology has an outstanding opportunity for an Instructional Services Manager to join their team.
The Instructional Services Manager is responsible for coordinating the undergraduate instructional program in Biology and ensuring the adequate delivery of high-quality instructional opportunities to approximately 1500 majors, majors in other units, and pre-health science students each year. Reporting to and working collaboratively with the Undergraduate Program Committee Chair (UPC Chair), this position also works closely with the Department Chair, Director of Academic Services, Department Administrator, and Graduate Program Manager.
DUTIES AND RESPONSIBILITIES
Program Management and Support Create annual course schedule for review and approval by Department Chair and UPC Chair, balancing departmental mission, student demand, faculty interests and availability, space availability and funding issues. Provide advice on undergraduate course offerings and on yearly faculty assignments for undergraduate courses. Provide advice on teaching related policies and procedures (TA assignments, outside Biology TA hiring, Summer Sessions, teaching associate hiring, temporary instructor hiring, reader/grader/tutor support). On behalf of the Department Chair, UPC Chair, and the Executive Committee draft and communicate policy and procedure decisions to all affected parties. Manage curriculum development, including new course applications and course changes, through the approval process. Consult with director of academic services on demand for and logistics of scheduling and promoting courses to students. Help with development of new program ideas. Act as sounding-board/support for ideas, changes, and problems. Work with faculty as requested to develop, list, and schedule graduate courses. Responsible for managing course fee budgets, tracking lab fee expenditures to ensure that expenditures are charged to the correct courses, reviewing fees annually and adjusting as necessary, submitting proposals for fees for new courses, monitoring and approving faculty expenditures. Responsible for managing the instructional services support budget (~$35,000/year). Plan the Summer Quarter Program, including proposing courses, scheduling courses, and submitting the budget for Summer Quarter instruction for review and approval by the Department Chair and UPC Chair. Communicate scheduling and curriculum issues to academic services staff and faculty on a regular basis. Meet regularly with the Director of Academic Services on issues related to curriculum scheduling and student access and to coordinate program information and administration. Attend Undergraduate Program Committee meetings, provide support for and implementation of committee decisions where appropriate including specific assignments by the UPC Chair. Manage the day-to-day operations relating to departmental teaching efforts and instructional program issues, consulting with the Department Chair, the UPC Chair, and the Department Administrator as necessary and informing them of issues that arise and resolution of those issues. Research information for reports, compile teaching statistics, and analyze teaching data and trends, including SCH data for individual courses and the department as a whole on an annual basis. Serve as liaison to other departments, UW colleges/schools/programs, community colleges, and universities on issues related to instructional services programming. Predict future needs (in TAs, rooms, faculty, courses, etc.). Respond to questions from other offices, schools, or the public about Biology procedures, policies, equipment/room scheduling, etc.
Instructional Support Advise and assist part-time lecturers and temporary faculty with instructional support needs (e.g., classroom services, equipment). Oversee teaching support needs; respond to faculty requests. Coordinate acquisition of new teaching resources across the curriculum. Solicit equipment and other special course-related requests from faculty. Plan and oversee Life Sciences Building, Hitchcock Hall, and Johnson Hall room assignments. Troubleshoot problems that arise with undergraduate courses and delivery of instruction; respond to student complaints and problems; prepare reports on issues as requested. Work with Bio 118/119, 180-200-220 course coordinators, instructors, and associates to ensure smooth operation of the intro series. Work with the Department Chair & UPC Chair to identify areas of the undergraduate curriculum for systematic review and collaboration. Coordinate those reviews. Respond to general inquiries about instructional support as appropriate.
Personnel Management and Support
Instructional Services Staff o Coordinate the recruiting and hiring of instructional services staff (scientific instructional technician, graphic designer, program coordinator, instructional supervisors/course coordinators), including creating/updating job descriptions and managing the search and hire process. o Supervise instructional support staff, including scientific instructional technician, graphic designer, program assistant, and instructional supervisors/course coordinators. Responsibilities include: - staff orientation and evaluation, approval of timesheets and vacation requests, resolving any issues or problems that arise. - oversight of Instructional Services staff, whose work includes Coordinating labs, supervising TAs, and managing logistics for the introductory biology series and Biology 118/119; equipment setup and removal; time schedule construction and classroom scheduling; maintenance of teaching resources, including equipment and microscope repairs, textbook ordering, and stocking the instructional supplies cabinet; preparation of lab manuals and teaching graphics; photocopying exams and class materials; return of exams; issuing Emergency loaner keys for classrooms and labs.
Temporary Teaching Appointments o Collaborate with the appropriate departmental committees to recruit, interview, obtain appropriate departmental approvals, hire, and orient temporary teaching appointees. Create and update job descriptions and advertisements (for both internal only and external distribution and posting). Work with the Department Administrator and Chair’s Assistant on funding and appointment logistics. o Teaching Associates and Temporary Instructors - Collaborate with UPC Chair on teaching associate recruiting & hiring; manage the logistics of the search and hire process. - Identify the need for and identify potential candidates for temporary instructional appointments to cover course needs. Develop recommendations for the review and approval of the Department Chair, UPC Chair, and the Department Administrator. - Work with Department Administrator and Chair’s Assistant on new temporary teaching appointments. - Maintain database of potential temporary instructors for filling last-minute instructional needs.
Teaching Assistants o Develop the plan for TA assignments each quarter for review and approval by the UPC Chair and GPC Chair. Communicate assignment information to the Graduate Program Manager. o Collaborate with the UPC Chair to ensure TA coverage for Biology courses. o Collaborate with the UPC Chair each quarter to recruit, screen, interview, and hire graduate students from other departments to serve as TAs. Manage the logistics of the search and hire process.
Inform Department Administrator of instructional staffing updates and changes so that budgetary impacts can be anticipated and managed, this includes the final count of TAs on payroll for each quarter.
Other duties as assigned.
MINIMUM REQUIREMENTS
BS or BA and four to five years of experience in academic program management and support.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
ADDITIONAL REQUIREMENTS
Demonstrated excellence in interpersonal communications. Ability to anticipate, identify, and solve problems.
DESIRED QUALIFICATIONS
Experience streamlining processes through application of technology, supervisory experience, and experience coordinating complex processes.
