University Enterprises Corporation at CSUSB ('UEC') supports the university's educational mission by providing quality services that complement the instructional program. The University depends upon UEC to provide services that cannot be supported with state funds. We're responsible for business enterprises on campus including, but not limited to, dining, bookstore, convenience store, and vending services. We also serve as the grantee for federal, state, and local funding for research and sponsored projects.
Temporary, 'non-exempt', benefited position through September 30, 2023 (Appointment may be renewed annually based upon availability of funds, availability of work and satisfactory job performance).
40 hours per week. Schedule to be arranged, but typically, Monday-Friday from 8:00 am - 5:00 pm though some nights, weekend work may be required.

Under minimal supervision of the Project Director, the Administrative Assistant will work independently to:
Assistance to Faculty, Staff and Students: Will answer phones and serve as a source of information for the Pathways to Success Program; explain policies and procedures; answer questions and provide information and referrals; schedule appointments; maintain appointment calendars, confirm appointments
Recordkeeping: Receive and review compliance documents for completeness and accuracy; maintain and update program files and records; compile data for mailing list. Build and maintain internal controls compliance manual.
Information Management: Assist in preparing materials and handouts for project use; distribute materials to program participants; contact by mail or telephone program participants who have incomplete files or other compliance documents. Establish and maintain project equipment inventory; Check voicemail
Clerical: Maintain program participant and office files; compose routine correspondence and memos; assist in designing forms and brochures; maintain compliance files; take phone messages.
Computer Operations: Input computer information, including program participant data; verify data accuracy; assist in developing parameters for database use; produce reports using spreadsheet, word processing, desktop publishing, and database applications.
Coordination: Coordinate meetings of the Program staff and participants.
Office Maintenance: Ensure materials are up to date and restocked, inventory for office and library
Miscellaneous: Perform other duties as indicated by the Director. Assist other project participants with special projects upon request.
Education: Applicants must possess a high school diploma or equivalent; some college desirable.
Experience: Equivalent of one year of experience in general office clerical work, preferably in a student services setting involving direct contact with diverse students and staff
Other: Knowledge of: office environment principles, practices and procedures; telephone etiquette; highly effective oral and written English communication skills; grammar, spelling, vocabulary and punctuation proficiency, interviewing techniques; general office practices computerized record keeping and financial software programs. Ability to: Compose routine correspondence; deal effectively with staff and the public; learn Federal regulations; learn University Enterprises Corporation at CSUSB policies and procedures; work independently; follow written and oral directions; file; type; handle confidential and sensitive information; compile data for reports; perform arithmetic computations of average difficulty. Proficiency in the latest versions of Microsoft Office Suite (Outlook, Excel, Word, and PowerPoint) is required.
