JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: Under the direction of the Assistant Dean of The College of Graduate Health Sciences, this position oversees the daily operations/activities of the COMU programs in the College ( Biomedical Engineering and Imaging, Epidemiology, Integrated Biomedical Sciences, Laboratory Research and Management, Pharmacology and Clinical Research Certificate program) serving as a resource and primary contact for students, faculty and outside stakeholders. This position works closely with faculty, students, and department administrators to resolve student academic record issues. This position is responsible for collecting, recording, maintaining, and reporting of student records consistent with state, and federal privacy laws such as FERPA guidelines.
DUTIES AND RESPONSIBILITIES:
Serves as liaison with student support offices (financial aid, bursar's office, student health, one stop shop), on matters pertaining to the graduate students enrolled in the COMU (College of Medicine Units)
Ensures students enrolled in the MOSU graduate programs are complaint with federal regulations and have completed and submitted all admissions requirements.
Maintains departmental records and databases, as appropriate; establish and maintain files and records for five graduate programs.
Counsels with students regarding progress toward their degree.
Creates annual reports and conduct THEC mandated program evaluations.
Manages student records and checks for accurate registration information.
Coordinates the application and acceptance process and send out all correspondences to applicants and admitted students.
Corresponds to daily graduate student questions, emails, and telephone calls regarding schedules, computer access, leave requests, etc.
Provides support, coordination, supervision, and completion of special projects.
Performs inventory check of equipment and computers assigned to the department, manages annual inventory reports, and updates inventory changes in the IRIS system.
Assists the Business Manager with personnel functions, including creating positions, processing pay funding changes, terminations in IRIS.
Coordinates the travel processing for staff and guest travelers, reviews, verifies, and enters all invoices and assigns asset/inventory tag.
Creates non-compete justifications, requisitions, contracts, and asset numbers.
Manages subrecipient grant documentation and contracts.
Prepares Cayuse Proposals and 424 before submission and route proposals and material transfer agreement (MTA).
