This position is a part of the Office of the University Registrar (OUR) which provides leadership, planning, management, and implementation to support the teaching of research mission of the University. This position executes essential Office of the University Registrar (OUR) and student information systems processes & projects that have campus and UC system-wide impact. The work is mission critical, crosses organizational boundaries, and involves representatives of wide-ranging constituencies.
Under general supervision, reporting to the Assistant Registrar, Enrollment & Records, work in collaboration with all units within the Registrar's Office, colleges & professional schools, and the IET Enterprise Student Applications team. Interact with a broad set of campus stakeholders including students, parents, administrative staff, staff & faculty and the general public. Oversee the daily operations of several key student services, including the Office of the University Registrar (OUR) Customer Service team and the AggieCard Office. Manage full-time employees, including hiring, training and managing the service schedule, facilitating professional development opportunities for staff, evaluating performance of customer service facing the service team. Oversee the University of California Online Education Program (UCOE) including management of related systems, troubleshooting issues, and liaison with UCOE staff. In collaboration with the Student Service Representative, ensure that student staffing hiring, training & evaluation are in alignment with unit & university strategic direction. Provide support to the Student Service Representative to create effective & efficient work processes and professional development opportunities for student staff. Operate under a continual process-improvement model and analyze, design, review and implement revised & new business processes within the campus student information system and other mission-critical information systems as they are related to the management of the academic student record and the Aggie Card operation. The work of this position includes building test plans; conducting end user acceptance testing and making recommendations & resolving issues related to the system(s) used by the team this position oversees.

Additional Minimum License/Certification:
Bachelor degree, or equivalent training/experience.
Experience working with relational database systems, specifically, student information systems.
Experience analyzing complex information and situations to independently identify problems and relevant factors, formulate logical conclusions, and recommend and implement alternative solutions.
Experience in systems analysis and business process engineering.
Experience comprehending, interpreting, and applying policies.
Experience to independently research, collect, compile and analyze data from a variety of sources & identify and reconcile anomalies; to work with multiple data sources to reconcile records and processes across various database systems; and to recognize actual from potential data problems and consequences and take appropriate actions
Experience developing process documentation and training materials.
Prior supervisory experience.
Minimum Knowledge, Skills, and Abilities (KSA) :
Outstanding organizational, time management and analytical skills to work effectively with multiple target points and deadlines while paying careful attention to detail. Skills to lead and execute multiple simultaneous projects, set priorities, track progress and meet deadlines.
Skills to prepare testing activities and write test plans, instructions, and other reference materials. Skills to coordinate user testing efforts, providing testing feedback to development, seeing test resolutions to closure.
Communication and interpersonal skills to effectively communicate and interact with a variety of constituencies with differing priorities and perspectives. Oral and written communication skills to present information effectively, tailor presentations to a wide variety of audiences (including executive management), present complex concepts and recommendations clearly for management decision-making.
Computer skills to work across a multi-platform environment with proficiency in using a variety of software packages including but not limited to databases, spreadsheet, word-processing, e-mail and web-browsers
Skills to adhere to federal and state laws as they apply to student records including the Family Educational Rights and Privacy Act of 1974, California Information Practices Act, and campus procedure implementing the University of California policies applying to the disclosure of information from student records.
Additional Preferred License/Certification:
Prior experience in a university registrar's office.
Prior experience with Banner SIS.
Extensive experience with how a student information system processes data for undergraduate, graduate and professional students.
Project and/or program management experience managing technically complex, inter and cross departmental and organizational, multi-stakeholder projects.
Preferred Knowledge, Skills, and Abilities (KSA) :
Extensive knowledge of the functions of a registrar's office and the handling of student and enrollment records, with an understanding of how student information systems underlie business processes.
