Program Specialist 3 - Enrollment Services Data Specialist

Reporting directly to the Director of Enrollment Services this position will: Reporting, Research, Compliance and Technical Operations – 75%:
Lead the coordination and maintenance of Enrollment Services data to address and report required outcomes to federal, regional, and state agencies and organizations;
In coordination with Information Technology Services and Institutional Research, develop and maintain student services databases to support enrollment services operations including but not limited to Running Start dual enrollment, admissions, diploma, transcript, drops and petition, academic standards databases;
Support and coordinate data system migration efforts in the Student Services Division;
Create and maintain required reports in DataExpress (Legacy), PS Query (PeopleSoft), SQL Server, or other platforms as appropriate;
Create and submit reports to the National Student Clearinghouse;
Support dual enrollment programs by preparing and sending monthly dual enrollment reports, quarterly transcripts and academic standards/probation lists to high schools and districts;
Maintain daily enrollment reports in Tableau;
In cooperation with IR and ITS, create dashboards for Student Services in Tableau;
Write queries in SQL that can be transformed by ITS into views for end users in Student Services;
Schedule enrollment jobs, i.e. MIS, roster, grading, postgrading, and unmet prerequisites;
Prepare reports for administration of a variety of institutional policies related to enrollment and advising, i.e. academic standards and new student orientation;
Prepare annual and ad hoc reports for dean and directors of Advising and Enrollment Services departments to track enrollment, progress and completion for various programs and populations, e.g. Running Start, Veterans, first-time in college students;
Coordinate the technical requirements for registration access and ensure registration processes open and close consistent with the academic calendar and established registration dates and deadlines;
Ensure system data quality through monitoring data variances and training program staff;
Participate in supporting departmental, divisional and institutional assessment and accreditation activities;
Provide PeopleSoft or related data support for Enrollment Services;
Respond to requests for data upon the approval of the Director or Dean;
Liaison and communicate regularly with key partners in Academic Affairs and Institutional Technology Service to ensure quarterly class and catalog information is coordinated with Student Services processing tools;
Liaison and communicate regularly with Financial Aid administrators to support federal and state requirements for financial aid reporting and compliance.
Enrollment Services and Student Support – 25%:
Participate as a member of the Advising and Enrollment Services unit in supporting unit operations to include assisting students with college navigation, processing and facilitating enrollment transactions, preparing notifications and communications;
Engage in department and college activities, including cross-departmental training and professional development opportunities and events for students;
Create job aids, training manuals and conduct training to colleagues on data and enrollment related tools;
With the director and dean, ensure alternate or back-up coverage of all duties;
Update enrollment and advising departmental websites with accurate and clear information;
Assist Student Services staff in using and/or troubleshooting issues with PeopleSoft, Tableau, and SMS/Legacy systems;
Provide technical assistance and customer service to students in need of support navigating enrollment processes and accessing technology.

Use statistical software, spreadsheets, pivot tables, and database querying software (i.e. Access, Excel, SQL Server or other relational database software);
Design and produce accessible charts, tables and dashboards using SQL Server, Tableau or other visualization software;
Develop and conduct effective training and create training guides on technical/data related functions;
Compose clear and concise electronic communication;
Provide culturally-competent, customer service in a diverse environment.
Higher educational policies at the state and federal level related to data reporting;
Commitment to the community college mission and equity goals.
Bachelor's degree; AND
One year full-time experience in data reporting, management, coordinator or analysis; AND
One year full-time experience in higher education administration, technical support, enrollment, institutional research or student services.
Associate of Arts Degree; AND
Two years full-time experience in data reporting, management, coordinator or analysis; AND
Two years full-time experience in higher education administration, technical support, enrollment, institutional research or student services.
Experience working with PeopleSoft;
Experience writing select queries in SQL;
Experience developing reports and dashboards in Tableau;
