This position works independently to carry out a wide range of confidential and complex administrative responsibilities in support of the Assistant Deans for Faculty Affairs in the FAS Science and Social Science Divisions. The role will work with ~20 departments and over 45 centers across both the Science and Social Science divisions, including staff, faculty, researchers, the Office for Faculty Affairs, and the Divisional Deans' Offices.
Program and Project Coordination
Coordinate the Assistant Deans' review and administration of a variety of funding programs, including Dependent Care Funds and publication funds.
Collaborate with the Science Assistant Dean to oversee the approval process for exceptional PI rights requests.
Oversee, develop, and run events for the Assistant Deans.
Other projects as assigned.
Managing Files & Digital Systems
Develop and independently monitor multiple complex and confidential digital filing systems.
Oversee administrative tracking of major grants and awards received by faculty in the Science Division for follow up by the Divisional Dean.
Independently update a variety of faculty affairs databases.
Correspondence & Scheduling
Independently oversee scheduling and calendar management for the Assistant Deans of Faculty Affairs in both divisions.
Draft and distribute a variety of correspondence on behalf of the Assistant Deans.

Three or more years of related experience.
Ability to handle complex and confidential information with professionalism and discretion.

Excellent interpersonal and communications skills.
Demonstrated competency with a variety of computer software including Microsoft Office 365 applications.
Demonstrated track record of sound judgement.
Excellent organizational skills with particular ability to prioritize work in an environment with multiple competing priorities.
Ability to learn new systems quickly, including emerging technologies and communication tools.
College degree highly preferred.
