Position Overview The Office of the Associate Dean for CLA Undergraduate Education (UGE) seeks a positive, dependable office professional to serve as the first point of contact for faculty, staff, and students who contact our office by phone, email, or in person. The ideal candidate will have proven skills to interact and communicate effectively across cultures, the ability to be diplomatic and clear, and have strong interpersonal skills and maturity. This role will have limited remote options.
Job Responsibilities Office of UGE Associate Dean Operations 35% Maintain a professional and efficient front desk area in 115 Johnston Hall, with in-person reception, phone and e-mail inquiries from students, faculty, staff and others. Provide check-in support for deliveries, appointments, events. Provide support for hybrid meetings and other technology needs. Manage mail and packages. Maintain CLA UGE email account, including triage and responses. Complete purchases for Associate Dean and Administrative 115 Team. Responsible for in-person front desk staffing at least three days per week.
UGE Administrative Projects 30% Manage recurring projects, including Dean's List, Academic References, Materials Requests, etc. Complete single-request projects, such as correspondence, presentation materials, editing, filing, etc. Provide administrative support to UGE Directors/Units who request it. Assist with the planning and implementation of CLA Undergraduate Commencement, College Day, and other UGE wide events.
Workspace Management 15% Manage office supplies for 115 Johnston. Resolve minor equipment problems or arrange service. Handle day-to-day facilities work orders. Act as Department Facility Representative for keys and building access. (not currently doing because they don’t have access)
Personnel 15% Update internal and external directories and rosters. Track RSVPs for UGE-sponsored events. Distribute and track spirit gear for new employees. Arrange and distribute name tags, business cards, and door signs for UGE staff. Create and distribute Welcome Bags to new employees
Admin Team 5% Back up Operations staff as needed.

High School Diploma/GED and two years of related office and administrative experience. Training/education may be substituted for some of the years of experience.
Demonstrated experience working effectively with individuals from diverse identities, cultures and communities.
Demonstrated organizational skills and a high level of attentiveness to detail and accuracy.
Demonstrated computer skills and experience in word processing, spreadsheets, email and calendaring applications.
Demonstrated evidence of strong problem-solving skills.
Excellent interpersonal skills, including a positive attitude and ability to work as a team player.
Experience working in an academic setting with several constituencies (e.g., faculty, staff and students, external contacts).
Experience with student services, office management, or program administration in a higher education setting.
