The Associate Director develops and manages all the processes for admission and academic advising for the Master (MS) programs of the Computer Science department. The Associate Director also assists the faculty directors of undergraduate education in all facets of the undergraduate programs in the Computer Science department.
(40%) The Associate Director develops and manages all the processes to support the admission and academic advising for the Master???s Programs of the Computer Science department. Directly manages the Computer Science Department MS Admissions process for the ~4000 plus MS program applications. Supports faculty and the MS Admission Committee Chair in the lifecycle of all graduate applications. Manages the Slate platform for MS applications, which includes creating and managing various queries, posting faculty decisions, and training support staff on Slate (as in student workers). Supports SEAS admissions and recruitment goals with regard to expected admission. Executes the computer science MS graduate and BS undergraduate degree admissions-related events, such as information and major declaration sessions. Works closely with MS Admission Committee Chair in the hire of the Ph.D. students who provide MS admission support. Manages the processing of the students enrolled in the MS programs. This responsibility is fulfilled by working in close partnership with the faculty member who chairs the MS program. The Associate Director also participates in the advising of the ~300+ computer science MS students enrolled in one of the 3 MS programs including MS in Computer Science, where students can choose from 10 tracks/concentrations. MS in Computer Engineering (a joint program with Electrical Engineering) and MS in Journalism and Computer Science. Manage and co-host MS and BS admission orientations for incoming classes
(30%) Assists the faculty directors of undergraduate education in all facets of the undergraduate programs in the Computer Science department. The Associate Director manages course enrollments, major declarations, degree clearance, and department events for undergraduate students. The Associate Director also participates in the advising of the ~450 Bachelor of Science computer science majors (across various schools and academic programs such as SEAS, A&S GS & CC, and Barnard); Interfaces regularly with faculty advisors and college deans for schedule (drop) changes, academic concerns, semester grade reviews, and student status updates, streamlining the processes for faculty. Supports students in semester scheduling and course selection process, and with schedule changes. Certifies MS and BS graduation requirements. Interprets and enforces SEAS, CC, and GS policies and processes. Maintains and updates student records in the departmental database, MICE. Serves as liaison with University support departments on behalf of students, faculty, and staff.
(10%) Assist in managing School-wide and Department-wide events, such as the faculty reviews of Ph.D. student progress at the end of each semester, commencement, all Student Affairs Team events and services, Ph.D. events, such as social events, annual celebration events, etc. Manages events geared for undergraduate and MS students ??? social and academic.
(5%)Updates the SEAS, CC/GS, and Barnard bulletin, and works with Undergraduate and MS Committee Chair(s) and DUS on updates. Oversee the undergraduate and MS course requirement-related departmental web pages.
(5%) Manages computer science department student conference funds, a source that supports department-sponsored student travel to special conferences and academic competitions (all students involved in special intramural research or academic activities can apply) including Reviews incoming applications, Determines eligibility and funds requests, submits annual funding request to CS leadership, sending comprehensive support information to leadership, and working with the departmental administrative team to process travel fund disbursement
(5%) Hires, trains, and supervises student workers. Support hiring process for teaching assistants, coordinates applications, promotes roles, process hiring documents.
(5%) Performs related ad hoc duties and responsibilities as assigned/requested
Bachelor???s degree or equivalent, advanced degree (e.g., Master in Education) preferred. At least 4-6 years of substantial hands-on experience in student affairs in higher education
Must have, or be able to acquire quickly, detailed knowledge of University policies, procedures, and systems. Must have extensive experience with all aspects of managing student affairs and operations, including but not limited to student admission, orientation, advising counseling, and career placement. Experience in establishing automated or semi-automated processes to support the management of student affairs is strongly preferred. The ability to exercise discretion and judgment in sensitive and confidential matters is required.
Must be detail oriented and possess skills for data analytics with a high degree of proficiency in spreadsheets using Excel. Must have a high degree of proficiency with MS Office. Experience with Linux is desirable.
Must possess proven ability to effectively work with culturally, linguistically, and ethnically diverse faculty, staff, and students. Experience with building a team and leading in a positive direction with a focus on providing excellent service to students. Experience in comprehending and analyzing data, creating reports, and presentations, suggesting recommendations, and making data-informed decisions including student information tracking and records management. Experience with providing excellent customer service. Understand student and academic affairs opportunities and challenges affecting the constituents, consisting of a diverse population - domestic and international.
Strong technical competency is required; to demonstrate an understanding and appreciation of student services database software and online resources, and the willingness and enthusiasm to respond to the needs of students in an increasingly technologically dynamic society. Proficiency with Google suite of products, Excel (proficient in pivot tables, formulas), PowerPoint, publishing software, social media, etc. Experience with Canvas LMS, Columbia SDR/SSOL/SIS, and marketing platforms (such as Mailchimp) or admissions platforms (specifically Slate) are a plus.
Ability to analyze and work with a large volume of student, course, and other types of data. Possess excellent interpersonal and administrative skills. Ability to work independently and under pressure, with a high level of attention to detail. Candidates must exercise good judgment and flexibility.
Must be able to prioritize multiple tasks with minimal supervision. Must be able to communicate effectively and tactfully with staff, faculty, students, employers, and alumni in small and large group settings.
Positive, mission-oriented, forward-thinking attitude and sense of humor a must.
Must be willing to work on occasional evenings and weekends, on a needed basis, especially during peak times
