The Budget Analyst position within the Office of the Dean, College of Science is an important part of College operations, acting as a reviewer of key financial requests, an analyst, and a supporting member of the Dean's Office team.
Reporting to the Associate Director of Finance, the Budget Analyst will be expected to manage an assigned portfolio of departmental budgets, act as the business manager for the Dean's Office immediate expense and purchasing needs, provide analysis and reporting duties, and cover other related duties as assigned.
Responsibilities Budget Reconciliation with Assigned Departments
Work with department heads for assigned units (portfolio model) to manage their operating and discretionary budgets, including guidance and support in preparing reports for forecasting
Provide monthly reconciliation support: review expenses and check for authorization, resolve any errors or unplanned expenses
Work with department heads to forecast for anticipated expenses accurately and provide burn rate analysis to ensure spending remains within budget for fiscal year
Provide forecasting analysis to Associate Director of Finance and Operations for quarterly projections
Fiscal Operations for College
Manage the grant tuition process with COS Finance, Graduate Student Services and COS Post Award
Work with departments to update, monitor, and manage their capitalized equipment inventories
With Associate Director, monitor college commitments specifically start-ups and their funding, arranging for all necessary transfers and tracking expiration dates
With Associate Director, initiate necessary transfers to fund part-time lecturer and teaching overload funds to departments
Serve as reviewer/approver on certain financial transactions from college units including but not limited to payroll distribution forms and journal vouchers
Assist with confirming calculations and fund availability for summer salary requests and other one-time payments
Maintain and create reports that allow tracking and projecting of expenses to ensure accuracy and
appropriateness of transactions
Assist units in ensuring adherence to financial controls and policies
Finance Support for Dean's Office Units
Concur support for Dean's Office (including subsidiary units, manage Amex cards, special approvals)
Process expense reimbursements and other appropriate special payment requests for guests of Dean's Office
Initiate purchase orders, budget transfers, journal vouchers, direct pays or other transactions as required for Dean's Office
Create, organize, and maintain required financial documents and records for Dean's Office units
Provide backup review/approval support for Associate Director of Finance and Operations
Analysis and Reporting
Assist with capital equipment and non-capitalized equipment inventory process
Assist with resolving overdue expense reports or following up on other issues with cardholders within College
Advise College leadership on needed changes to expense and reimbursement protocols
Under the direction of the Associate Director, prepare financial models for new programs and initatives for review (shared research facilities, new degree programs, etc)
With Associate Director, regularly review and contribute to COS training materials and written policies (hosted on COS Intranet) as they pertain to financial operations
Knowledge and skills typically acquired through a Bachelor's degree and at least two years of financial, budget, and accounting experience. Excellent communication and interpersonal skills and keen attention to detail. Comfortable working in a fast-paced deadline-driven work environment.
