SSSP is part of the Office of Academic Services and funded by a federal TRIO grant from the U.S. Department of Education. The program serves 150 undergraduate students who are first in their family to earn a Bachelorâ™s degree and/or who have overcome financial or other barriers to attend Brandeis. Our team of professional staff and student leaders offer programs and services that build community and promote academic and personal success.
**This position is funded by a grant from the U.S. Department of Education, and it is 28 hours a week for 44 weeks a year position, and is eligible for benefits.
Examples of Key Responsibilities:
Maintains a positive and welcoming office environment for students, staff, and faculty.
Provides office support including: answering phones, scheduling appointments and meetings, making travel arrangements for staff.
Manages and updates SSSP Filemaker database in accordance with the Department of Education reporting requirements. Designs and prepares database reports for staff.
Develops the Federal Annual Performance Report (APR) for the U.S. Department of Education.
Maintains detailed records and processes SSSP expenditures and budgets.
Processes payroll for program staff including tutors and mentors.
Supports staff in coordinating logistics for a variety of SSSP program events and activities.
Supports staff in coordinating the recruitment of new program participants, and management of incoming applications and related materials.
Communication, Web Management, and Material Creation: Assist with writing correspondence to students and staff; manage program inquiries; maintain program social media accounts including Instagram, Facebook, LinkedIn, and Constant Contact newsletters; create content for social media such as flyers and advertisements, and microcontent such as informative short-form videos and print/digital materials. Updates website and list-servs.Â
Oversees the use and maintenance of the program computer lab and laptop loan program.
Maintains student files and grant-related records.
Qualifications:
HS/GED (AS or BA preferred).
Four to six years administrative experience, preferably within a college or university setting.
Demonstrated sensitivity to the needs and concerns of a diverse student population, particularly first-generation college students who are overcoming significant financial barriers.
Detail- oriented and organized with strong prioritization, time management, and follow-through skills.
Strong interpersonal abilities with comfort using multiple mediums to communicate. Strong and demonstratable, data entry skills, and project management experience required.
Comfortable operating in a fast-paced and rapidly changing work environment, with demonstrated ability and comfort to efficaciously handle multiple tasks and projects. Comfort in working both independently and collaboratively as part of a cross-functional team.
Strong technology skills, including proficiency with Microsoft Word, FilemakerPro, Google Suite, Excel, and Workday
Physical Requirements:Â
Ability to work in-person on the Brandeis University campus, and adhere to current COVID-19 vaccination policies.
This position is primarily office-based with primary work on a computer, including phone, email, in-person meetings, and video conferencing.
This position will be required to coordinate on-site event execution and office organization, which may include moving furniture and other items, navigating event spaces, and communicating verbally with staff. Â
