This position reports to the Senior Administrator and is part of the CLA Undergraduate Administration team. This position will focus on the day-to-day operations of CLA UGE and support the development of a community where every member feels a sense of belonging.
Operations Support 50%
Implement standards and procedures for operations of a complex, fast-paced administrative office.
Develop positive working relationships with UGE partners, including university, college, and department-level stakeholders.
Maintain knowledge base of University and CLA operational policies.
Partner with UGE Senior Administrator on managing space planning and facilities projects.
Research, make recommendations, and assist with large-scale furniture replacement projects
Monitor ergonomic reimbursement process for all UGE staff
Maintain and track inventory of shared equipment - copiers, phones, ethernet, etc.
Assist with the planning and implementation of CLA Undergraduate Commencement, College Day, and other UGE wide events.
Provide administrative support as needed for UGE special projects, programmatic activities, and initiatives
Build relationships with personnel in UGE offices (including Career Services, Advising, Student Services, Student Experience, Career Readiness, MLK Program, PES Program, Curriculum, Learning Abroad, Recruitment, and Scholarships) to assist in optimizing their operational workflows for greater efficiency and effectiveness in alignment with UGE goals.
Staff Engagement 40%
Support organizational development and culture change within UGE toward a workplace community where every member is regarded with respect and feels a sense of belonging, to include:
Assist in the development and implementation of mission/values/vision holistic activities (examples can include: end of semester celebrations, staff welcomes)
Assist with the coordination of professional development delivery
Planning and hosting staff appreciation activities
Managing UGE submissions for awards and recognition
Coordinating UGE’s onboarding experience
Serve as a member of the Operational Management group, attending and supporting meetings, programming, and potential events and trainings connected to Operational Management across CLA UGE
Administration Team 10%
Serve as backup to HR and Front Desk staff as needed, this role is expected to staff the front desk one day per week
Assist with the management of recurring projects, including Dean's List, Academic References, Materials Requests, etc.

Salary Range: $45,000-$49,000
Bachelor's degree or a combination of related education and work experience to equal four years
Demonstrated experience working effectively with individuals from diverse identities, cultures and communities
Demonstrated organizational skills and a high level of attentiveness to detail and accuracy
Demonstrated computer skills and experience in word processing, spreadsheets, presentation software, email and calendaring applications
Demonstrated highly refined ability to use discretion regarding confidential information
Demonstrated experience working independently and handling multiple tasks simultaneously
Demonstrated evidence of strong problem-solving skills
Experience working in an academic setting with several constituencies (e.g., faculty, staff and students, external contacts).
Experience with student services, office management, or program administration in a higher education setting.
Facilities management and/or space planning experience.
Excellent organization, interpersonal and communication skills.
