The Admissions team has an outstanding opportunity for an MSW Admissions Specialist. The MSW Admissions Specialist reports to the Director of Admissions and is primarily responsible for the management of the MSW admissions process and supports other operational aspects of the unit. This includes finding ways to improve application reviews while ensuring the process runs smoothly. The Specialist will also develop, implement, and communicate admissions policy, gather and analyze data, report out on trends, and communicate internally and externally about MSW admissions processes. The Specialist will have an opportunity to develop new ways of working to improve efficiency and data-based decision-making.
The successful applicant will maintain a proactive and creative approach to program management and data quality control that includes an equity-focused lens, supporting our diversity recruitment efforts. The applicant should have experience and comfort with managing complex datasets and reporting, preferably from a recruitment and outreach perspective.
The admissions team is implementing a new data management system within the next year, and this Specialist will play an important role in integrating the new system into current admissions processes and policies. This position will manage the admissions experience for hundreds of applicants to this number one ranked Social Work program.

DUTIES AND RESPONSIBILITIES
Manage MSW admissions application process: this includes preparation of admissions application materials, screening and processing applications, communicating with applicants and troubleshooting application issues, and streamlining the process for admissions decisions;
Develop, implement, and communicate new admissions policies and application processes as needed while ensuring that new processes are adaptable to current and any new systems limitations;
Oversee and coordinate admissions review processes, including scheduling and administrative support of the faculty Admissions Committee and Supplemental Review Team trainings, managing online scoring systems, calculating GPA and international degree equivalency, and tracking admissions decision-making;
Advise applicants on meeting necessary admissions eligibility requirements and abiding by SSW admissions and University of Washington policies;
Create materials and communications that reflect any policy changes;
Develop and maintain communication processes with our partners, such as the UW Graduate School and GSEE (Office of Graduate Student Equity and Excellence) in acceptance and waitlist offers for candidacy and fellowships;
Work in partnership with UW Graduate School, Registrar’s Office, Continuum College, Office of Student Financial Aid, and School of Social Work Student Services and Academic Programs, Office of Field Education, MSW Admissions Committee and Supplemental Review Team, and Scholarship Committee, IT, to support admissions operations.
Design, improve, and manage applicant and new student data collection to ensure streamlined collection, cleaning, sharing, and storage of data; includes managing data, relevant tracking spreadsheets, and information regarding application completion, program eligibility, funding applications and financial need, application scoring, admissions offers and responses, background checks, etc.;
Develop, bench-test, debug, and maintain electronic collection forms, platforms, and monitoring systems;
Learn current data collection methods and design new ones when the School’s new data system is implemented;
Independently monitor incoming data and maintain a proactive approach to quality control;
Assemble, merge, clean and analyze datasets to generate reports and analysis to show trends in admissions predictions, application forecasting, and applicant demographics;
Analyze and study previous datasets to provide insight on longitudinal study of admissions data and patterns to assist with strategic planning for the Admissions team and SSW leadership;
Present regular progress updates in team meetings and provide written summaries as needed;
Access data through UW MyGrad system, UW Data Warehouse, School of Social Work student database, and other relevant data management systems to create custom reports; and
Manages sensitive and confidential data.
Provide information and guidance to prospective students regarding School of Social Work degree programs and the MSW application processes;
Provide support for admissions events for prospective students and provide information to external communities about the School of Social Work and social work as a career field, this may include coordination of logistics and purchasing;
Represent the School of Social Work and its programs at meetings and conferences as needed; and occasionally participate in outreach activities at campus/community events and/or through scheduled advising appointments; and
Lead and support special projects as required; other duties as assigned.
Bachelor’s degree in Social Work, Public Administration, Higher Education Administration, or related field or equivalent and two years of administrative experience;
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
Proficiency with Microsoft Office/cloud-based tools (e.g. Excel/Google Suite/SharePoint/OneDrive) and database management, and competent use of spreadsheet formulas and pivot tables (e.g. vlookup, filter, countif functions in Excel or Google Sheets);
Commitment to social justice and demonstrated experience serving diverse populations;
Must be able to work independently and on a team, exercise a high degree of judgment, initiative and responsibility, make independent decisions, and manage competing priorities using strong organizational skills to meet deadlines;
Data driven/data curious and tech-savvy;
Excellent customer service skills and orientation, and strong attention to detail;
Excellent oral and written communication skills;
Ability to maintain confidentiality;
Ability to be timely and professional in all interactions, and to work in a collaborative, team environment committed to social justice, diversity, and inclusiveness;

Two or more years of work experience in data collection, management, analysis and reporting; advanced data analysis and visualization skills a plus (such as Tableau, Portal BI).
Complex administrative support experience, preferably in higher education.
Skills with systems integration (coordination of different databases and online tools).
Familiarity with graduate enrollment management, University of Washington admissions policy and/or student data management systems a plus.
Experience with evaluation tools (such as MS/Google Forms, Surveymonkey, statistical software).
Experience coordinating meetings and events.
Experience working with students and staff in a university setting.
Experience working effectively with high volumes of public contact.
