We are seeking a Marketing & Communications Operations and Project Management Associate who will recommend, create, and manage tools for tracking progress of projects, while integrating within the school the standardized tools, techniques, and best practices around project management. In addition, this position will help to foster a culture of process improvement through the creation and embedding of best practices and assisting the MarComm team to utilize the frameworks in order to optimize processes.
They will work closely with the Associate Director to manage deliverables for all MarComm colleagues and stakeholders throughout the school, including fielding incoming requests to confirm the scope of requested work and ensure strategic purpose. This position is responsible to identify collaborative solutions for execution of project requests, schedule and prioritize deliverables, and assign tasks across the entire MarComm team for several hundred projects annually in a fast-paced, highly dynamic environment. They will track and report progress for the collective team book of work, maintain working and archival files within the project management system, and prepare and disseminate timely progress and summary reports.
This position will work closely with all members of the MarComm team and will maintain relationships with stakeholders across the school, as well as external vendors, to drive the team's collective alignment of resources and maximize the team impact towards school wide objectives.They will also execute marketing plans for identified projects and initiatives, as assigned by Associate Director, to ensure continuity in support to our partners and projects. Responsibilities include identifying solutions and recommendations to ensure project completion for non-program specific departments including but not limited to Alumni Relations, Career Development, Development, Events Management, Faculty and Student Affairs.
Specific Duties & Responsibilities:
Manage project management (PM) tool, currently Smartsheet, for the MarComm team.
Analyze and make recommendations for alternative PM tool(s) as needed.
Optimize PM tool for efficiencies in support of the needs of the MarComm department.
Train team members on PM tool use and best practices and support tool use.
Lead weekly MarComm status update meeting, executing any necessary follow-up with team members.
Identify potential issues or challenges to project completion and provide recommendations.
Assist in creating documentation for both existing and new business processes and flows.
Prepare regular project status updates and summary reports.
Execute specific audit or assessment reports as requested to inform efficient decision making.
Manage project archival system, ensuring all work is filed in a timely manner.
Collaborate with team members to create process efficiencies in existing operational systems, i.e., tracking paid invoices, maintaining accessible branded templated files for partner access.
Manage vendor-sourced projects (e.g. printed materials) to ensure delivery of projects on budget, on time, and meeting quality expectations.
Establish and maintain excellent relationships with school partners to better assist in oversite of marketing projects supporting partner initiatives.
Work with key stakeholders across various departments to understand business requirements and needs, as needed per identified project.
Provide MarComm support to school stakeholders related to identified projects as assigned by Associate Director

Ability to maintain confidentiality of information, diplomacy, tact, and professionalism in actions and appearance.
Working knowledge of MS Teams.
Proficiency with project management software with full understanding of how to optimize tools, as well as the ability to provide usage recommendations and light technical support for team.
Minimum Qualification (Mandatory)
Bachelor's Degree in related field.
Four years related experience.
Advanced degree may substitute for required experience, to the extent permitted by the JHU equivalency formula.

Bachelor's Degree in Management, Business, Marketing or Communications.
Five years of related experience related business, project management, marketing, public relations, or communications preferred.
Experience working with in Higher Education setting.
PMP or CAPM certificate.
Extensive experience with Smartsheet and Asana.
