The Assistant Registrar for Student Services and Operations plays a key role in delivering and improving student academic services to support student retention and success. An integral member of the Registrar's leadership team, the Assistant Registrar provides vision, strategy, and direction for Registrar student services daily operations and providing exceptional customer service. This position oversees student registration, the academic calendar, office operations, and transcript production. This position requires a strong understanding of university academic policies and applicable Federal and State laws and regulations governing higher education and the privacy of and access to student records. In addition, ongoing analysis of data, business processes, and student information system functionality is required to develop and implement process improvements and automations in collaboration with Computing and Telecommunications Services (CaTS).
Master's Degree and at least three years of experience in a functional/technical role in a Registrar's Office or related university area, with extensive experience in process and data analysis, and student information (Ellucian Banner or similar) and other integrated academic systems.
Demonstrated ability to effectively lead, supervise, train, and develop staff and manage conflict resolution.
Demonstrated success overseeing operations and leading projects.
Strong understanding of the Family Education Right to Privacy Act (FERPA).
A proven commitment to process improvement, quality service, and student advocacy.
Strong analytical skills and understanding of an integrated, relational database.
Experience writing queries.
Essential Functions and percent of time::
Responsible for registration, academic calendar, transcript production, and oversees Registrar student services daily operations.
Serves as primary Office of the Registrar contact for FERPA Compliance. Responds to FERPA incidents and inquiries and provides ongoing, required notifications and training across the institution.
Serves as primary liaison to Raider Connect. Coordinates registrar-related training for Raider Connect Staff and other related service offices.
Works collaboratively with faculty, staff, and students to resolve complicated registration, transcript, and petition escalations.
Manages and troubleshoots electronic transcripts, develops electronic forms and petition process digitalization, and develops robust business process documentation.
Works with Computing and Telecommunications Services (CaTS) as needed to develop strategy for resolution of issues.
Serves as department Social Media Manager, responsible for Initiating student communications via social media and technical applications, including WINGS Announce and Banner communications.
Develops the Banner Student Information System (SIS) production calendar which maps processes and actions required by functional areas for academic term process implementation.
Administers SIS term controls and provides complex analyses for assigning student registration priority.
Manages SIS waitlist functionality and coordination with departmental waitlist managers. Develops scripts and processes necessary to apply alt PINs to appropriate student populations.
Manages SIS-related fee-assessment processes, including backout for non-payment and develops and configures SIS registration add/drop/refund codes.
Schedules AppWorx jobs which automate processes required to update critical functional technologies, e.g., College Scheduler, SIS administration of AltPins, tuition cohorts, and registration priorities.
Gathers data for on-time problem resolution and analysis.
Responsible for the integrity of data essential to student loan processing and compliance; Selective Service verifications.
Website content manager for Office of the Registrar content, registration-related RaiderConnect content, and the Academic Calendar.
Office Hours 8:30 – 5:00. Available to work outside of standard business hours, as needed. Flexible work hours and/or hybrid work options (combination remote and on-campus) are negotiable after training period is completed with a minimum of 40% of time on campus.
