We are seeking a GELL Special Projects Administrator who will reporting to the Associate Dean of Engineering Educational Program Services in the Whiting School of Engineering (WSE). The GELL Special Projects Administrator provides administrative and operational special project support for the Office of Graduate Education and Lifelong Learning (GELL), which comprises the four non-undergraduate academic verticals in the Whiting School of Engineering: (1) the residential master's, doctoral, and postdoctoral fellow programs (Homewood campus); (2) the professional master's and graduate certificate programs (Engineering for Professionals program), (3) the non-credit programs for professionals (Lifelong Learning), and the (4) pre-collegiate (K-12) online and on-site programs.
This position assists with implementing programs and initiatives and providing student-facing support for the GELL verticals, including managing special project timelines and portfolios and serving as a primary point of contact for students/learners in special programs and initiatives such as the Hopkins Engineering Exploratory Program (HEEP).
This is a hybrid position.
Specific Duties & Responsibilities
Develop and maintain detailed project plans to monitor progress. Track project performance to ensure the successful completion of short and long-term goals.
Work with project teams and leadership to ensure that projects stay on track and are completed on time and on budget.
Identify and mitigate risks associated with projects and project timelines; report and escalate issues (and possible solutions) to leadership as needed.
Create and maintain comprehensive project documentation.
Prepare reports and presentation materials to communicate project progress and achievements.
Ensure resource availability and allocation for project completion.
Measure performance using appropriate project management tools and techniques.
Submit project deliverables and ensure they adhere to quality standards. Abilities needed:

Support on the ground logistics for programming and related GELL events
Refer program participant/students/learners to resources as needed and appropriate
Support program participant/student/learner compliance as needed and appropriate
Ensure the organization and completion of key deliverables on assigned special projects.
Create key documents and communications products for internal and external audiences
Provide project management and administrative support
Organize, prioritize, and track the daily operations and developmental progress of assigned projects to ensure that project requirements and other project goals are met.
Maintain all files and data entry for assigned projects.
Lead and facilitate communication with key internal and external stakeholders on collaborative projects, meetings and events.
Serve as primary liaison for students/learners engaged in GELL programming and participants in special projects
At times, serve as resident advisor to on-campus participants in programming and events
Three years progressively responsible experience in program administration in an academic environment
Additional education may substitute for required experience and additional experience may substitute for required education to the extent permitted by the JHU equivalency formula.
5 years' experience in higher education administration
4 years of project management experience.

Strong verbal and written communication skills, along with the ability to manage multiple challenging projects
Ability to independently interpret and advise on university and divisional academic and business processes and policies as related to graduate students, learners, and pre-collegiate students
Strong attention to detail and accuracy
Ability to prioritize and direct broad-spectrum demands with multiple stakeholders and constituencies.
Ability to manage and track large amounts of sensitive and diverse data, familiarity with FERPA and HIPAA
Ability to interact with staff and faculty of all levels within the division, keep projects moving forward and motivate team members to perform and stay on track;
Ability to demonstrate exquisite tact and judgement in working with parents of minor program participants;
Strong organizational, administrative, project management and problem-solving skills;
Excellent writing and oral communication skills, with the ability to clearly relay information among faculty, staff, parents (as appropriate) and students;
Ability to navigate ambiguous and confidential situations;
Must have proven aptitude with the use of Microsoft Office applications, along with specialized computer applications
Must have the ability to maintain confidentiality at all times
Must be self-motivated and able to work independently in a highly matrixed and complex business environment
May be needed to work flexible hours at times, based on project needs
