Provide highly skilled coordination and professional administrative support in the areas of event and project management for the Office of the Vice President for Student Affairs, primarily in relation to high level events for the Vice President of Student Affairs including convocation and commencement. Serve as a valuable and engaged team member of the Division of Student Affairs (DSA). Responsible for the planning, logistics and ongoing management of programs and events sponsored/orchestrated by DSA, including managing special projects, assisting with special events and demonstrating initiative, task/project ownership and making independent decisions. Position will report to Associate Director for Communications and Marketing.
Manage key aspects of commencement and convocation ceremonies, including student and guest management, college coordination, production of printed materials, recruitment and management of volunteer staff, oversight of logistics, pre and post-assessment of events, logistics, and stakeholder feedback. Use independent judgement and discretion in executing and supporting University's high-profile events.
Develop and manage the communications timeline for ceremonies and convocation, ensuring correct information is circulated to faculty, staff, students, guests and that it is also published for external audiences in a timely manner.
Work with internal and external service providers and stakeholders, to achieve best value and excellent service for high-profile ceremonies and events (catering, print, design, venues, bookstore, photography, others as required).
Actively participate on planning committees for recurring events including Maverick Stampede and Homecoming, providing strategic and logistical insights, where appropriate. Represent DSA and its Communication and Marketing team at related meetings and events. Be knowledgeable about the team's suite of services and protocols for requesting the same, to provide direction to internal clients/stakeholders and support address their needs
Assist with key aspects of high-profile University events and programs as needed, such as event development, stakeholder communication and correspondence, marketing and promotion and serving as a DSA resource for event marketing including assisting with event execution, communication of best practices and facilitating related training.
Develop long-term projections for commencement to accommodate conferral growth. Implement virtual commencement opportunities and other web-based programming for student recognition and engagement and improve graduate and guest experiences across all commencement ceremonies and interactions.
Assist with donor and volunteer recognition, tracking, and stewardship.
Supervise 2-3 student employees.
