The Department of Chemistry is seeking an additional Graduate Program Coordinator for its graduate program consisting of over 275 doctoral students. In partnership with the current Graduate Program Coordinator, and as a part of a shared responsibility, you would coordinate all matters pertaining to the recruitment, admissions and tracking of the students in the Chemistry Doctoral Program.
Your Responsibilities Include but not limited to: Track PhD milestones such as dissertation committee setup, candidacy exams, data meetings, and annual reviews for each student; update graduate program handbook, review and suggest updates for graduate materials on website; first point of contact for student with questions on policies and procedures; provide support to the Department’s Graduate Committee, including ad hoc reports on student affairs; staff support for PhD success and community building programs, including tutoring program, mentorship program and student development events.
Provide information about the Chemistry PhD program and serve as a liaison between prospective students and the department, maintaining the Department’s admissions email account; provide support to the Department’s admissions committee, creating reports, as necessary. Shared responsibility for the coordination, administration, notification and tracking of a large pool of doctoral applications.
Participate in pre- and post-admission recruitment activities, which may include travel to annual national graduate recruitment fairs; with help from student services assistant, organize and coordinate events focused on recruiting and outreach, including recruitment weekends and our M-CORE preview weekend and new student orientation; actively participate on Department’s recruiting committee, tracking, and organizing faculty and student recruiting visits.
- Bachelor’s degree and/or equivalent combination of education and experience.
- Four or more years of progressively responsible administrative work experience.
- Excellent interpersonal, written, and verbal communication skills.
- Experience working with people with diverse backgrounds; ability to multi-task and prioritize while maintaining attention to detail and adhering to deadlines; desire to work independently as well as be part of a team along with the proven ability to self-start and show initiative.
- High level of proficiency with formatted documents, spreadsheets, databases, and data retrieval; ability to work in a fast-paced office environment with demonstrated ability to balance and prioritize multiple, competing tasks while exercising discretion and good judgment.
- Some evening and weekend availability needed for recruiting activities.
- Five years of student services experience in a higher education setting, including working with faculty and international students.
- Knowledge of University, LSA, and Rackham policies and procedures.
- High level of proficiency with Wolverine Access, Business Objects, MReports, and MRS.
