The Office of Student Affairs at Columbia Business School (CBS) supports the academic and community experience for 1600 full-time MBA students by creating an inclusive environment in which all students feel a sense of belonging, agency and partnership in co-creating their optimal MBA experience. The Office of Student Affairs is composed of three teams that work collaboratively to enhance the MBA experience: Academics and Advising, Records and Registration and Student Life and Engagement.
Reporting to the Senior Director of Student Affairs, the Program Coordinator provides administrative support to the Office of Student Affairs. As a member of the Office of Student Affairs team, the Program Coordinator provides organizational and operational support to student life events, academic advising and student success programs, and office-wide meetings and initiatives. The Program Coordinator also co-manages the day-to-day operations of the Office of Student Affairs, including answering and directing phone calls and emails, greeting guests, and responding to inquiries.
Provides administrative support to departmental officers, students, and faculty. This includes, but is not limited to, managing name badges/nameplates, general inquires to the OSA email account, handling incoming calls, correspondence, in-person traffic, office mail, photocopying, departmental filing, data entry, etc.
Support all front desk tasks including warmly greets guest and inquiries about the nature of the visit. This includes extensive knowledge of the department, determining the appropriate response, or referring the question to the relevant officer when necessary.
Communicates business school and office policies effectively and empathically. Maintains an office culture aligned with inclusion, student support, and world class service.
Provide correspondence to students who request various documents and policy clarifications. Track student question types and offer recommendations to streamline inquiries.
Triage student concerns and questions regarding technology. Serve as the first point of contact for student platforms such as CampusGroups and CourseMatch.
Support the marketing, implementation, execution, and expense reconciliation of office sponsored events and programs such as, Graduation, Orientation, Club Day, Winter and Summer in NYC, etcetera. Support the Student Life team by assisting event planning tasks including supporting student-initiated programming and the Peer Advisor Program administration.
Works collaboratively with the Academics team to provide support for high volume programming such as finals week, exemption exams and add/drop.
Coordinates and schedules meetings, conferences, and seminars on behalf of the department.
Manages Office of Student Affairs monthly calendar and assists with cross-department and Student Government pre-calendaring.
Conduct special projects/tasks as assigned by the Dean of Students or other staff.
High School Diploma or its equivalent required; some college preferred. Minimum of three years related experience, or the equivalent combination of education and experience required.
Candidate must be an energetic and proactive problem solver with the ability to work independently and collaboratively in a team environment. Exceptional organizational, interpersonal, effective written and oral communications skills and ability to stay calm and on task in a busy environment is imperative. The position requires a professional demeanor and desire to deliver best in class service to students, faculty, and other key stakeholders. The ability to exercise discretion and judgment in confidential matters is required. Computer proficiency in word processing, database management and work with spreadsheets essential.
Bachelors??? degree preferred. Experience working in a high-volume student environment preferred.
