Executive Director, Admissions 
Required Qualifications: (As evidenced by an attached resume) Ph.D., Ed.D. or Master's degree (foreign equivalent or higher) and ten (10) full time years of administrative responsibility in the Admissions unit at a college or university. Successful record of at least five (5) full time years of increasing administrative responsibility in the Admissions unit at a college or university. Demonstrated transformational leadership skills. Coach and mentor style of team development. Proven record of data-driven enrollment management techniques utilizing multi-source inputs for strategy development in class shaping, out of state growth, international growth, and financial aid/scholarship leveraging. Thorough understanding of the new student recruitment process; including knowledge of current trends locally and nationally, the latest research and best practices in recruitment of traditional and other student populations. Demonstrated understanding and optimization of admissions' technical systems (Slate, i.e.) to help optimize admissions efforts. Possess a strong commitment to inclusiveness and diversity and the ability to think intentionally with an awareness of the various ways in which the campus is experienced differently by students from diverse backgrounds.

Knowledge of selective admissions and the ability to distinguish Stony Brook against a competitive set of peer institutions and effectively capitalize on appropriate opportunities to expand SBU's attractiveness as a first-choice institution. Brief Description of Duties: Under the direction of the Vice Provost for Enrollment Management, the Executive Director of Admissions is responsible for the development and oversight of the recruitment and admission staff, as well as the development and implementation of policies and procedures required to ensure the University enrollment targets are met for new undergraduate students. They serve as a member of the Vice Provost's leadership team to develop, communicate, and implement policies and procedures, helping to ensure the division is well positioned to meet institutional enrollment goals and embrace the values of the university and division. They need to be mission driven, focused, and have excellent project management and communication skills along with being a creative, big system thinker with ability to manage details.
The Executive Director is responsible for all new student undergraduate recruitment and admission efforts. They will engage in long-term planning and evaluation as well as resource assessment and management. The position serves as a liaison with college deans and faculty and represents the undergraduate admissions office on campus-wide committees. Additionally, the incumbent will ensure accurate and timely development and deployment of all recruitment publications; e-communications; events and ad hoc strategic initiatives necessary to meet the established enrollment goals and is charged with doing so within the approved budget parameters. Ensures a comprehensive communication plan is in place to maximize both the efficiency and effectiveness of admission communications.
The Executive Director is also charged with assisting with the development, supervision and implementation of activities critical to meet the targets for new, undergraduate, graduate, student enrollment cohorts. The Executive Director is responsible for the design and implementation of a comprehensive strategic recruitment and marketing document that outlines strategies, plans and goals for recruitment and admission activities necessary to meet the undergraduate and graduate enrollment goals, and to ensure the development of programs (including receptions, forums, direct mail, etc.) to increase highly qualified applications. This may require local, regional, and national travel.
The Executive Director ensures compliance with all federal, state, SUNY, organizational and institutional policies and procedures in the admission of students and is responsible for: - Develop and implement an annual comprehensive recruitment and admission plan; in consultation with Vice Provost.
- Report weekly to the Vice Provost on the progress towards admission and enrollment goals and on issues of importance impacting these goals; Works with the Vice Provost to establish annual admission goals.
- The submission of an annual report at both the mid-point and year end as well as ad hoc reports as needed.
- Oversight and management of all domestic and international recruitment and admission activities and doing so within all relevant budgets, policies and procedures.
- Leadership of Graduate Admissions processes for all graduate programs including the upper division undergraduate Health Sciences Programs. Ensure successful management of the online application systems: Slate and CAS (Centralized Application Services). Develop and support new admissions processes for Graduate School programs by providing guidance for streamlining workflow, ensure accuracy, timeliness and efficiency as well as align with university goals. Mentor up to three graduate recruiters across all graduate programs, with a focus on diversity and inclusion.
- Oversee and drive the efforts to meet university goals on recruitment of international students. Includes planning international travel, advising, oversight of applications and evaluation of educational documents. Research, develop and implement recruitment strategies in existing and growth international markets. Implement strategies that mitigate the national and international student admission trends due to changing demographic, economic and world factors.
Duties:
Marketing and Recruitment Management - Reporting to, and under the direction of, the Vice Provost for Enrollment Management, the Executive Director of Admissions is responsible for the supervision of staff reporting to the Executive Director as well as those charged with the development and implementation of marketing, recruitment and admissions policies and procedures. The Executive Director is also charged with assisting with the development, supervision and implementation of activities critical to meet the targets for new, undergraduate, student enrollment cohorts.
- Design and implement a comprehensive strategic recruitment and marketing document that outlines strategies, plans and goals for recruitment and admission activities necessary to meet the undergraduate enrollment goals, and to ensure the development of programs (including receptions, forums, direct mail, etc.) to increase highly qualified applications. This may require local, regional, and national travel.
- Develop strategies and programs that involve university faculty, staff, administrators, alumni and current students in the recruiting process and directly participate in activities related to promotion of University majors, minors and other programs. Manage and execute a recruitment travel schedule which includes evening and weekend hours.
- In conjunction with operations personnel, develop and implement plans, and ensure compliance with inquiry management solutions.
- Create a robust campus visit "student welcome center" strategy, where we offer prospective students and their families the opportunity for large scale campus visit days as well as yield events, both on and off campus.
Policy, Planning and Compliance - Enforce University-wide recruitment and admissions criteria and policies consistent with the academic policies and procedures of the university, academic departments, majors, as well as providing support for academic enrichment programs.
- Formulate, integrate, and enforce vital policies related to the resolution of conflicts involving admissions decisions, and compliance with federal, state, SUNY and institutional regulations. In this regard, the Executive Director will function within the policies and procedures of SUNY, Stony Brook, and abide by the principles of good practice promulgated by AACRAO and NACAC, as well as the compliance standards of the NCAA, and regional accreditation agencies.
- Interact regularly with the Vice Provost, academic deans, department chairpersons, and various program directors on issues related to enrollment, academic standards, and admissions criteria. In conjunction with university leaders, the incumbent also has supervisory responsibility for the enforcement of policies relative to transfer student admission requirements. It is important for the Executive Director to build trust with the deans and become immersed in the goals of each school and division to ensure their highest aspirations are met with each incoming class.
- Use statistical models developed in collaboration with the Director of Research to identify important factors in the enrollment decisions of prospective students.
- Develop and achieve enrollment goals based on data analyses, identification of significant trends and predictive models.
Budget Management - Develop and manage the admissions and recruitment budgets including forecasting future needs under the direction of the Vice Provost. The Executive Director is also responsible for
- Administer, monitor, and track all Admissions accounts including State and IFR accounts or others as necessary.
- Monitor all office expenditures on an ongoing basis and assess results of all expenditures relative to the admissions and enrollment operation. Produces ROI measures as requested.
Supervision and Staff Development - Supervise and evaluate direct reporting admission staff and enforce supervision by other senior admission officers for both professional and support staff.
- Develop an ongoing staff development and training program designed to keep staff current in the areas of marketing, recruitment, ethics and all policies pertaining to college admissions.
- Lead an admissions team that is highly collaborative and integrated and is optimistic, opportunistic, forward-looking, innovative, and strategic -- seizing the opportunity to enhance collaboration across the unit and division and enabling the staff to operate at the highest level of quality.
- During these times of change in which staff have needed to be flexible, committed and student centered, it will be essential for the Executive Director to develop and support the staff- through the onboarding experience, ongoing training and professional development - in maximizing the team's capabilities to be innovative, collaborative, caring, optimistic and results-oriented. The Executive director will leverage knowledge of emerging trends, networks, and resources to support staff members' professional growth and involvement in the field.
Publications - Ensure the development of all marketing materials and student recruitment publications in conjunction with other University-wide administrators and offices.
- Manage subcontracted agencies and vendors as necessary (e.g. advertising, printing).
- Provide input and ensure timely delivery of all centrally planned marketing materials (e.g. brochures, applications, web site). Responsible for content, timeliness, accuracy, and effectiveness of print promotional advertising, including various college guides, admissions publications, and newspaper ads.
- Development and oversight of an effective, interactive, admission website.
- In collaboration with Marketing and Communications, oversee and ensure the accuracy and effectiveness of major recruitment publications such as the Viewbook and Admissions Search piece, among others.
Assessment and Benchmarking - Track and analyze the effectiveness of marketing initiatives and activities providing ROI benchmark and assessment analysis on an on-going basis, and as requested, on demand.
- Benchmark SB recruiting activities against other universities to stay abreast of best practices.
- Produce a thorough assessment of all admission activities and programs to implement more effective and efficient activities as well as request and conduct research to identify additional ways to reach various target groups and referral sources in order to continually evaluate and, as appropriate, redesign aspects of the admissions program.
- Working in partnership with the other administrators on the leadership team, utilize data to develop and communicate strategies to assess progress, opportunities and areas for improvement, and drive action, specifically in the areas of recruitment planning and selecting students.
- Other duties or projects as assigned as appropriate to rank and departmental mission.
Special Notes: This is a full-time appointment. FLSA Exempt position, not eligible for the overtime provisions of the FLSA. Minimum salary threshold must be met to maintain FLSA exemption.
