Reporting to the Associate Director for Recruitment and Admissions, this role provides critical support for areas of admissions, office management, events, and committee support across the school’s five academic programs.
This role can be hybrid but does require on-site work due to the leadership and collaboration needed. Flexible work agreements are reviewed annually and are subject to change dependent upon the business needs of the school and/or university requirements.
Admissions (45%)
Serve as front line staff for answering and triaging inquiries received via phone, email, and in-person.
Support overall application processing goals as the lead processor for application materials including verification of transcripts, GPA calculations, TOEFL scores, and other documents; working with applicants to ensure all materials have been received and processed.
Maintain integrity of application/applicant data by utilizing reporting, resolving errors within systems, pulling suspense reports, and communicating with applicants regarding questions related to their file
Support the yield and onboarding of incoming students, including: oversee official transcript collection process for matriculated students; adding and removing students from Canvas and other relevant systems
Process admissions decisions in Wolverine Access (WA)
Manage the application deferral process (tracking applicant requests, updating official records in WA, updating relevant reports shared with internal and external partners, maintain communication and confirmation of future enrollment)
Collaborate with UMSI Admissions on the application fee waiver process, and process all application fees
Partner with the Assistant Director of Student Life on activities or projects, including managing the mailing of student MCards
Serve as back up and coverage for the I-20 process for incoming students, and other student data processing as needed
Follow guidelines for FERPA and FOIA regarding access and release of student related information.
Office Management (35%)
Serve as the primary staff member for phone and front desk customer service coverage supporting student facing offices, responsible for triaging when appropriate and escalating complex issues when needed
Hire and train temporary staff for front office coverage and office support
Manage all mail and delivery services for the Office of Academic and Student Affairs
Process maintenance requests for office equipment and building issues; ensure office supplies stocked and the office space is well organized and presentable
Provide calendar support for meeting scheduling for some OASA staff for things such as student probation meetings, team meetings, and academic integrity meetings.
Lead the enhancement of existing customer service guidance documents and identify and support areas that need additional expansion to support the creation of a comprehensive customer service handbook
Make recommendations for customer service improvement and increasing efficiencies in front office operations
Event support (10%)
Confirm and organize logistics of OASA events: room scheduling, catering, visitor accommodations, signage, event support (working events, setting up, taking down, clean up), and technology needs and set up
Coordinate the production and organization of materials for events, including: folders, name tags, rosters. Leverage temporary staff to support this work when possible.
Prepare materials for conferences, coordinate delivery/return of materials, register OASA team members for conferences and recruiting events, process invoices for the school’s participation and potentially even sponsorships
Maintain knowledge of school and university events, policies, procedures, and resources
Ensure expense reports are filed for hosted events according to all policies and timelines
Committee support (10%)
Coordinate with Academic Program Assistant Directors to schedule Academic Program Committee meetings each semester, including: polling committee members to determine availability, organizing calendar invitations, creating Zoom rooms when needed, and providing room set-up support
Serve as staff support by attending and taking notes at committee meetings throughout the academic year; coordinate coverage for note taking in case of absence or overlap of meetings; send around minutes with action items and follow up on action items
Bachelor’s degree or an equivalent combination of education, certification, and experience
Minimum of 2 years experience in a related role including confidentiality, timeliness, customer service, organization, prioritization, troubleshooting, and working independently to successfully achieve results
Excellent computer skills and experience with web-based systems, word processing, databases, and basic spreadsheets
Strong customer service and excellent communication and interpersonal skills
Demonstrated ability to work well within a team as well as independently; ability to exercise independent judgment when necessary and employ basic reasoning skills
Strong attention to detail and proofreading skills
Ability to relate well with diverse students, faculty, and staff
Training, certification, or education in higher education or related field
Experience working in a college setting in an academic/student services, admissions office, or student life positions such as resident advisors or peer mentors
Experience and skills in customer service
Ability to supervise student temporary employees
Experience with event planning
Experience with fast-paced and innovative higher educational environments managing volume and complexity
Knowledge of University policies and procedures
Experience with data reporting in various query tools, such as Business Objects
Punctual, regular, and consistent attendance is required. May require working during non-business hours and on weekends.
