About the Job:
This student services professional position serves as a grad program coordinator for masters programs and undergraduate or graduate minor programs offered by the Technological Leadership Institute (TLI). The position provides critical support in the areas of admissions, student advising and support, program management, faculty support and alumni relations for professional Master of Science programs and minors, with the goal of promoting the welfare of students and ensuring the quality of the education offered. This position requires in-depth knowledge of and experience with the extensive body of rules, procedures, and operations of the University, Graduate School, and College of Science and Engineering as well as multiple University enterprise systems. This position also requires the ability to work independently, use independent judgment to solve complex problems with minimal guidance, and provide high-quality student and faculty services.
Student Advising and Support (50%)
• Counsels and advises students on academic program policies, course selection and registration, graduate school processes and paperwork and other issues
• Advises students on registration process and deadlines; advises students on available elective courses that meet program requirements
• Advises international students on University policies and resources; assists with issues related to student visas
• Monitors students’ academic progress throughout the program; oversees scheduling of Plan B oral examinations; confirms awarding of degree and advises non-graduates on process to complete; provides reports to the DGS on student progress
• Regularly communicates with students regarding upcoming deadlines, program changes, and extra-curricular learning opportunities
• Advises students on incomplete grade requests and resolutions, personal leaves of absence, returning from leaves, etc.
• Provides advice to students on internship/training opportunities; works with ISSS to advise international students on Curricular Practical Training (CPT) and Optional Practical Training (OPT) programs
• Collaborates closely with TLI Admissions staff to track new admissions and ensure a smooth on-boarding of new
Program Management and Faculty Support (40%)
• Serves as a key member of the Student Services team, participating in the development of strategies to enhance operational efficiency and improve student experience
• Serves as primary contact and resource to program faculty and guest speakers on issues related to academic policies, grade submission, managing on-line course sites, working with UM Libraries, etc.
• Manages course and class data, ensuring that ECAS system is up-to-date, processing changes to current courses and entering and tracking new course proposals.
• Manages the development of complex course schedules; secures classroom space.
• Oversees course grading process, advising faculty in the grade entry process, ensuring grade entry deadlines are met, and securing corrections as necessary
• Oversees program course evaluation process, providing data to DGS
• Represents TLI at Registrar’s Advisory Committee (RAC), Student Records, GPAS, and GPC meetings.
• Assists in the planning of student events such as orientation and graduation ceremony and reception
• Works with vendors to ensure purchase and delivery of goods and services are in accordance with UM policy and within program budget
• Collaborates with the DGS to determine agenda and presentations for biannual faculty meeting
• Assists in the planning and organizing of regular alumni events (5-8 per year); collaborates with alumni advisory panel to build alumni awareness and design events
• Maintains student records (paper and electronic) according to UofM policy
Other Duties (10%)
• Assists the Student Services Manager with special projects such as event planning, new program planning, new process development, etc.
• Assists with development and maintenance of procedure documentation
• Assists with general administrative tasks
• Other duties as assigned
Required Qualifications
• Bachelor’s degree plus at least two years of related experience in higher education or a combination of education and experience to equal six years
• Ability to work some evenings and occasional weekends
Preferred Qualifications
• Working knowledge of rules, procedures, and operations of the University, Graduate School, and College of Science and Engineering
• Proven experience with University enterprise systems including PeopleSoft, PCAS, ECAS, GPAS, CCS, MyU, SRT, OCM Astra, UM Reporting Center, and Moodle.
• Demonstrated experience providing support services to graduate-level programs and students
• Demonstrated excellent written and verbal communication skills; ability to present to small and large groups
• Ability to work independently and manage competing deadlines
• Experience with Filemaker, Moodle/Canvas and Drupal a plus
