Our team of 65 professional staff and more than 150 student employees provide leadership for campus K-14 academic preparation programs; engage in statewide, national and international recruitment of undergraduate students; conduct holistic review and transfer evaluation for more than 105,000 applicants annually; verify academic history for every enrolled undergraduate student consistent with UC policy; develop innovative technologies to accurately and efficiently review applications and track prospective student engagement; welcome more than 80,000 visitors to campus annually; and, enter into transfer course articulation agreements with all 116 California Community Colleges. Job Summary Working under the guidance of the Executive Director and Senior Director of Admissions, coordinate the processing of applications through the systems and tools within Undergraduate Admissions. Analyze feasibility, scope, and organizational impact of identified system development ideas. Develop preliminary and detailed system design documents for appropriate review. Understand, coordinate input, organize and structure applicant data for department and campus use. Coordinate system testing, training, and documentation preparation within system acceptance. Create and maintain an optimal information resource service environment by working with Admissions staff as well as with other departments to evaluate and improve system change designs and guiding system implementation.
Direct responsibility in managing all operational aspects of the admissions application - on time or late, all admission decision notifications, appeals, cancellations, incoming and outgoing mail, transcripts, records, tests, publication inventory and distribution, campus special admission programs and UA's electronic data management system (OnBase/EDMS). Coordinate and work collaboratively with the administrative and academic units that include registrars, colleges, schools, Academic Senate and Information and Education Technology (IET) to meet project and enrollment goals. Serve as campus resource specialist, develop and sponsor training sessions for campus staff.
Coordinate processing of confidential information and maintain integrity of records. Collaborate with the Executive and Senior Director and other directors to ensure departmental practices meet the conditions of audits and reviews as requested by campus, UCOP, and the State of California. Serve as the liaison between the technology staff and management to document all evaluation and selection processes. Develops and ensures upkeep of admissions guidelines/processing manual and that all Admissions procedures are clearly documented. Supervise two staff members who will provide support for all compliance requirements.

MINIMUM QUALIFICATIONSAdditional Minimum License/Certification: Minimum Education/Experience: - Bachelor's Degree in a related field and seven years of experience in administrative analysis or operations management and research; or an equivalent combination of education and experience.
Minimum Knowledge, Skills, and Abilities (KSA) : - Advanced knowledge of education theory, policy, practice, and evaluation. Extensive knowledge of Required federal and state laws, including the Family Educational Rights and Privacy Act of 1974 (FERPA) and how they apply to student records. Expert knowledge of educational process, policies and procedures relating to admissions, academic advising and programs, registration and financial aid in a university setting.
- Significant knowledge of the goals and mission of the University as they relate to academic preparation, recruitment, and advanced standing admission. Significant knowledge of UC's colleges, Schools and departmental transfer policies. Ability to formulate recommendations for, interpret and implement UC and UCD policies as they relate to undergraduate admissions and recruitment.
- Knowledge of organizational development strategies and practice. Proven experience and ability in conceptualizing, planning and implementing student services, and outreach and recruitment programs.
- Demonstrated management and supervisory skills working with professional and support staff to implement programs related to the functions of student services.
- Ability to interact effectively with diverse groups of students, staff, university administrators and multicultural and non-traditional populations with the ability to provide leadership, goal setting, deadlines, and priorities for committees and workgroups.
- A detailed knowledge of integrated student information systems, networked computer environment, and personal computer usage including familiarity with hardware and software applications to perform required functions.
- Advanced computer proficiency in MS Office, data reporting and data query, including knowledge of theories and principles of modern management techniques and best practices.
PREFERRED QUALIFICATIONSAdditional Preferred License/Certification:Preferred Education/Experience: - Demonstrated experience working with Banner and Slate.
Preferred Knowledge, Skills, and Abilities (KSA) : - Knowledge of UC Undergraduate Admissions processing, procedures, and data.
