Cornell's Health Professions Advising Center (HPAC) is a central student services unit that works in close partnership with the individual college advising offices and offers professional advisement and support to undergraduate, graduate, and professional students on the Ithaca campus, as well as to recent alumni interested in exploring and pursuing careers broadly in the health professions (medicine, dentistry, physical therapy, physician assistant, public health, nursing, veterinary medicine, etc). The HPAC Administrative Support Specialist is responsible for providing high-level, wide-ranging administrative and student support services.
The Health Professions Administrative Support Specialist will directly support the Director of Health Professions Advising and under their leadership, provide general office support to the HPAC team, help coordinate program and event logistics, and provide content management support across multiple platforms. The central office recently transitioned to be organizationally situated within the Office of the Vice Provost for Undergraduate Education, embedding the Center in the heart of the academic enterprise to facilitate strong connections with the academic and career advising community across the colleges, schools, and units.
Primary responsibilities for the Administrative Support Specialist include: Daily support and calendar management for the Director, including meeting management and coordination; responding to complex inquiries from students, faculty/staff, and alumni in-person, via email, and via telephone and managing the general HPAC email; assisting in the development and coordination of HPAC events and workshops (some evening hours may be required) that include highly detail-oriented logistics such as event marketing, registration, catering, presenter scheduling, technology troubleshooting, and travel arrangements; facilitate all purchasing, process financial transactions and travel reimbursements; managing multiple listserv communications to students, alumni and staff; updating and contributing to the HPAC social media platforms and website.
This position is located in Ithaca, New York and the successful applicant will work on the Cornell campus.
Required Qualifications:
- Associate's degree and 2 years to 4 years of relevant experience or equivalent combination
- Demonstrated commitment to diversity, equity and inclusion, including experience supporting students from diverse backgrounds and identities
- Proven ability to successfully work in a collaborative team environment
- Outstanding interpersonal skills with the ability to establish positive and respectful working relationships with students, staff, faculty, and alumni
- Proficiency in Microsoft Office Suite, particularly Word, Excel and PowerPoint
- Ability to manage travel arrangements and scheduling of meetings
- Experience managing a budget and purchasing
- Strong written and oral communication skills
- Excellent organizational abilities and demonstrated ability to manage multiple priorities
- Commitment to maintaining the integrity of confidential materials and student information
Preferred Qualifications:
- Bachelor's degree
- Experience with platforms such as Handshake and Salesforce
- Exposure to CUeLinks or other volunteer engagement platforms
- Experience utilizing social media to promote and advertise events
- Knowledge of Cornell systems such as Concur, KFS, eShop, I Want Docs, Workday, Cayuse, and others would be helpful.
- Experience in event coordination
