Program Coordinator
Hiring Salary Range: $40,000-$43,000 (Starting salary to be determined by the candidate’s education and previous experience)

The Program Coordinator is critical to the day-to-day operations of the department as they manage scholarships, payroll, purchasing, and the PES central office. This person will also aid in the coordination and management of PES events, as well as supervise and advise PES student staff and student leaders. The person in this role will join a team of six folks dedicated to providing high-quality service and support to PES students at the University of Minnesota Twin Cities.
DUTIES AND RESPONSIBILITIES
Scholarships, Payroll, Purchasing, and Office Management (40%)
- Manage and maintain student records (e.g., students’ submission of PES Plans and High-Impact Activities) relevant to the awarding of the PES signature scholarship and coordinate the awarding of the PES signature scholarship to hundreds of students each semester.
- Develop a high level of competency in using the University’s student success tools (e.g., APLUS, APAS, PeopleSoft) to aid the department in providing excellent student support.
- Coordinate all aspects (communications, recruitment, selection, awarding) of scholarships earmarked for PES students (e.g., Fund the Gap Scholarship, Engagement Scholarship).
- Regularly review and approve payroll for student staff; aid the department and its human resources lead in maintaining accurate, updated records for student staff.
- Serve as the primary coordinator and point of contact for purchases made by the department (e.g., food for student staff training and meetings, food for events, office supplies).
- Manage the day-to-day operations of the PES central office; provide high-quality customer service to students, staff, and faculty via in-person interactions, email, phone, and more.
Event Coordination and Management (30%)
- Coordinate and support important meetings for the department and the Program Director (e.g., PES Advisory Board, scholarship committee review meetings, meetings with leaders across the institution).
- Lead the planning and execution of events, such as the PES Open House, PES @ Homecoming, the End-of-Year Celebration, and more.
- Support the planning and execution of PES signature programs, such as Emerge Summer STEM, Summer Seminar, Fall Conference, Student Success Coaching workshops and events, and more.
Student Staff Supervision and Leadership (25%)
- Recruit, hire, train, and manage 5-10 Office Assistants and lead the team in providing high-quality customer service via in-person interactions, email, phone, and more.
- Monitor Office Assistants in completing various projects and tasks for the department (e.g., retention outreach, social media).
- Advise the PES Student Board as they strive to build community within PES and plan a variety of events throughout the year.
Professional Development and Service (5%)
- Engage in professional development and service activities related to the student services profession, within the University of Minnesota community and beyond, when appropriate.
- Participate in and represent PES on committees as requested.
REQUIRED QUALIFICATIONS:
- BA/BS degree, or a combination of education and relevant work experience to equal at least four years.
- Evidence of effective relationship-building, team-building, and oral/written communication skills.
- Demonstrated proficiency with Microsoft Office (e.g., Word, Excel, PowerPoint) and G Suite (e.g., Google Drive, Docs, Sheets, Forms, and Gmail).
- Event and program planning experience.
PREFERRED QUALIFICATIONS:
- One year of related experience working in an educational setting.
- Ability to maintain accurate records and data using Microsoft Office, G Suite, and more; demonstrate some data analysis and reporting experience.
- Knowledge, skills, and understanding of the social, personal, and cultural needs of historically underrepresented and underserved students.
- Experience developing and executing services as well as programs that center and affirm BIPOC students, students from low-income backgrounds, first-generation college students, students with disabilities, LGBTQIA students, as well as students from other historically underserved groups.
- Proven skills in creating and contributing towards racially and socially just, high-performing teams and work climates where all are respected, valued, feel a sense of belonging, and are able to contribute to their full potential.
- Demonstrated commitment to continuing education and skill development focused on racial and social justice.
- Ability to use racial and social justice frameworks to develop and execute services, programs, and policies; ability to use these frameworks to analyze and revise existing services, programs, and policies.
- Experience with Salesforce, social media, and other digital communications tools.
- Experience writing, editing, formatting, and proofing professional communications.
- Demonstrated problem-solving skills.
- High attention to detail and accuracy.
- Highly flexible, adaptable, and collaborative.
- Ability to communicate and work across organizational programs and priorities.
