Founded in 1873, MassArt is the first free-standing public college of art and design in the United States. We seek an Assistant Director to support the Vice President and Associate Vice President/Dean of Students in carrying out the goals, functions and strategic objectives of the Office of Student Development. Performs related work assigned.
Salary: $50k - $60k, commensurate with skills and experience.
SUMMARY OF DUTIES:
1. Student Development Operations– Assists the VP and AVP by providing support in carrying out the daily routine and assigned activities within the Student Development area:
- Prioritizes and organizes multiple tasks.
- Triage student issue.
- Responds to internal and external inquiries in a timely, appropriate, and effective manner.
- Coordinates assigned activities within the department to ensure completion of tasks, among VP and AVP direct reports and their staffs.
- Prepares responses to information requests.
- Oversees budget process for the Student Development division.
- Maintain filing system, supervises maintenance of office files and database systems.
2. Research and Special Projects
- Maintains and tracks division progress related to college-wide strategic plan.
- Conducts research and prepares reports in anticipation of VP/AVP needs.
- Plans and facilitates special events hosted by VP/AVP.
- Provides leadership and assistance for special projects.
- Oversee completion of division annual report and accompanying documents.
3. Communication
- Communicates with internal and external constituencies on behalf of the VP/AVP.
- Maintains web pages, social media, and designs marketing materials for division programs and events.
- Reviews, revises and summarizes correspondences and briefs for the VP/AVP, including editing division reports to the President.
- As appropriate, responsible handling of confidential information, including personal information, on every level of interaction and process with all constituents.
- Creates professional and accurate presentations, reports and documents for the VP/AVP.
- Serves as a liaison with other college departments including the office of the President, and Vice Presidents.
4. Scheduling & Meeting Responsibilities
- Manages calendars and coordinates demands for the VPs'/Dean's time by prioritizing requests while demonstrating significant independent judgment in identifying and resolving potential conflicts.
- Schedules and prepares agenda and meeting materials for staff and committee meetings, schedules meetings and appointments for the Vice President and Associate Vice President.(correspondence, scheduling, agenda, materials prep, room and catering arrangements, note-taking circulation and follow-up.
- Provide support to BOT sub-committee
5. Miscellaneous
- Prepares department submittals for campus wide announcements.
- Travel Arrangements for VP and AVP.
- Performs other related duties as assigned (Search Committees, Governance Committee, projects, etc.)
6. Promote the University’s commitment to customer service by:
- Build effective partnerships with co-workers throughout the University by freely sharing appropriate information and providing assistance when needed.
- Ensuring optimum service to all internal and external partners in response to all requests for service and information.
- Maintaining an environment that is welcoming to persons of all backgrounds, nationalities, and roles.
7. Other Job Duties
- Performs other related duties as assigned.
Supervision Exercised: Work study students
Working Conditions: Occasional evenings and weekends may be required, as needed.
Physical Effort: This is an example of office positions:
Occasional (10-33%)- Reaching, pushing, grasping and pulling. Lifting of up to 10 pounds.
Frequent (34-66%)- Standing and walking.
Constant (67-100%)- Viewing of computer screen and reports, sitting, repetitive motion, talking and hearing.
MINIMUM QUALIFICATIONS:
Education: Bachelor’s Degree
Experience: Minimum of 3-5 years of post baccalaureate experience in higher education required Skills: Must have excellent computer skills including Microsoft Office and Google Suite
Preferred Qualifications
- Master's Degree
- Adobe Design Suite experience; and
- Demonstrated competency with social media
KNOWLEDGE, SKILLS, AND ABILITIES:
- Database, social media and basic design skills
- Ability to properly handle confidential information
