JOB SUMMARY/ESSENTIAL JOB FUNCTIONS: The Registrar provides strong leadership and oversight for the development, implementation, management of systems and operations related to academic records, student registration, academic scheduling, degree audits, degree certification, transcripts, grades, and the Banner (Student Information System) records and registration modules. This position manages and directs all phases of the Office Registrar and provides and maintains accurate information on all UTHSC academic programs and courses, clinical rotations, internships, and externships. The Registrar implements and interprets relevant academic policies as established by the Committee on Academic and Student Affairs and provides input and feedback in multiple campus committees; and serves as the FERPA compliance officer for UTHSC and oversees reporting to multiple state, system, and federal agencies and accrediting bodies.
DUTIES AND RESPONSIBILITIES:
- Provides an effective structure through communication, management of technology, analysis and design of rules that define the graduation automated degree checking.
- Manages data to provide timely reporting of student enrollment information to internal and external constituencies including THEC, the UT System, the US Department of Education (ED), and other state and federal accrediting agencies. Supervises and maintains the accuracy of all student and related academic records.
- Reviews university policies and procedures, interprets FERPA, HIPAA, and other federal and state laws related to privacy and student information to ensure compliance.
- Maintains and updates academic curriculum and course information.
- Establishes short and long-range goals, objectives, policies, operating procedures.
- Supervises staff to provide excellent customer service and responsiveness to requests from faculty, staff, students, administration, and alumni. Reviews departmental workload distribution.
- Oversees the update of academic course and curriculum information through collaboration with the colleges and academic affairs.
- Provides regular training and learning opportunities for faculty, staff, and academic leaders on the Banner SIS and other related technologies in the Registrar's Office.
- Collaborates with the UTHSC colleges, Admissions, Financial Aid, Information Technology Services, and the Bursar's Office to meet university goals related to compliance, enrollment, and tuition goals.
- Oversees the Registrar's Office portion of the academic catalog (Acalog), curriculum (Curriculog), and scheduling (Section).
- Meets regularly with faculty, administration, and staff to provide feedback and training to the Registrar's Office staff regarding best service practices and needs.
- Ensures accountability by practicing a working knowledge of regulations, standards, practices, ethics, and policies as set forth by UTHSC, the UT System, program accrediting bodies, SACSCOC, THEC, AACRAO, SACRAO, TACRAO, and ED.
- Ensures timely delivery of official transcripts, coordinates degree verification and distribution of diplomas.
- Responds to state and federal regulatory requirements and audits.
- Works with staff to resolve problems encountered by students, faculty, staff, and alumni.
- Implements proactive and strategic solutions by communicating regularly with UTHSC colleges and departments to reduce reoccurring issues.
- Develops and oversees the management and monitoring of data integrity in areas such as code entry, grade entry, and other Registrar's Office functions.
- Oversees processes in the certification of veteran's educational benefits, transfer student information, registration, end of term processes, enrollment verifications, transcript requests, and student orientation.
- Creates and maintains a regular transmission schedule with the National Student Clearinghouse for enrollment and degree verification reporting.
- Performs other related duties as assigned.
