Job Title: Student Affairs Assistant Reports to: Director of Campus Activities

Job Summary: Under the direction of the Director of Campus Activities, the Student Affairs Assistant will be responsible for the day-to-day office management of multiple offices within Student Affairs, Campus Activities, Student Development, Fraternity and Sorority Life, and Operations Student Event and Support Services. Specific duties include event scheduling, record keeping, budget management, purchases, database management, project management and general office management. This position reports to the Director of Campus Activities and works closely with the Associate Dean for Student Development.
Essential Functions: Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions. The description of the task should include the intended result or outcome, e.g. compiles monthly reports to allow monitoring of the department's budget.
- Assist the Director with the planning of special projects and initiatives.
- Manage accurate budget records for Campus Activities, Operations and Event Support Services, Student Development, and other areas as assigned.
- Manage expense reports, invoices, and purchase order processing, purchase card transactions, and reports as needed.
- Maintain and organize an accurate filing system for all invoices, contracts, rosters and office mail.
- Assist the offices within Student Affairs with processing and tracking contracts, filtering the contract through Student Affairs and Legal Services.
- Serve as the Division of Student Affairs event reservation scheduler and event calendar manager.
- Coordinate the on-boarding process for new hires and professional staff members.
- Provide student assistant staff with operational support by purchasing tickets, managing the daily bank, and collecting generated revenue.
- Manage the inventory of supplies including ordering and maintaining adequate office supplies
- Problem-solve with the office of Information Technology to ensure office software and equipment are functioning properly.
- Serve as the first point of contact to office staff and Student Affairs Advisors.
- Maintain meeting and vacation calendars for the staff and administrators.
- Develop and maintain appropriate professional relationships with the university community, including faculty members, administrators, staff members and students.
- Responsible for communications with students, staff and the external public regarding departmental policies and procedures including sensitive and confidential information.
- Engage in cross-departmental projects as assigned to support strategic priorities of the Division of Student Affairs

Work Environment This position operates in a professional office environment; This position is required to use standard office equipment such as personal computers, printers, etc. While performing the duties of this job, the employee is occasionally required to stand; move about; sit; to carry work and use controls; reach with hands and arms; climb stairs; communicate. The employee must occasionally lift or move up to 10 lbs.
Position Type/Expected Hours of Work This position is in-person full-time and the expected office hours are Monday through Thursday, 8:30 a.m. to 4:30 p.m. and 8:30 a.m. to 3:00 p.m. on Friday with a 30-minute lunch break.
Required Education and Experience: - Bachelor's degree
- 2-4 years office management experience
