Job Summary: This is a full-time student facing position within Student Health Services. This person will have front desk, general office management, and immunization compliance responsibilities. They will be responsible for reviewing immunization records submitted by students for enrollment purposes and for various other program requirements. This position reports to the Director of Student Health Services and works closely with the professional staff, student staff and members across the Division of Student Affairs. We are looking for someone with great customer services skills who is detail oriented and has a working knowledge or a willingness to learn medical/immunization terminology.
Essential Functions: Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
- Fulfills front office duties, which involves answering phone calls, assisting students at the front desk to answer questions regarding their compliance status and making appointments with the Student Health Services' healthcare providers.
- Uses electronic medical records to review immunization records submitted by students for accuracy and for compliance.
- Responds to compliance inquiries of staff, faculty, students, and families.
- Works with other university departments to assist with immunization compliance.
- Works with Business Affairs for purchasing equipment, medical/office supplies and keeps inventory.
- Properly handles students' health information by maintaining confidentiality and exhibits proper sensitivity to students.
- Prioritizes and completes all work in an accurate, effective, and efficient manner.
- Assists the Division of Student Affairs in attaining strategic goals by being a strong team member and engaging in cross-departmental projects when assigned.
Competencies - Working knowledge of medical terminology and medical office operations.
- Working knowledge of immunizations/vaccines and titers required for students.
- Ability to communicate effectively orally, by phone, in person, and in writing.
- Ability to organize work effectively, conceptualize and prioritize objectives, and exercise independent judgment based on an understanding of organizational policies and activities.
- Ability to represent the department and University in a friendly, courteous, and professional manner.
- Ability to use a computer and other office equipment, including related university software, and electronic record keeping.
- Accuracy and attention to detail are key.
Work Environment This position operates in a professional office environment within a clinical setting; This position is required to use standard office equipment such as personal computers, printers, etc.
While performing the duties of this job, the employee is occasionally required to stand; move about; sit; to carry work and reach with hands and arms; climb stairs; communicate. The employee must occasionally lift or move up to 10 lbs. Required Education and Experience: - Associate's Degree
- Two-three years of experience in professional office environment managing periods of high volume client interactions successfully.
Preferred Education and Experience: - Advance level of proficiency with Microsoft Office (Excel, Teams etc.).
- Experience with NYSSIS and NYCCIR immunization registries, Medicat, medical records.
