DEPARTMENT OVERVIEW

The Division of Global Engagement (GE) advances the University's teaching, research, and service mission by working collaboratively throughout the institution to promote global engagement and advance campus internationalization by facilitating international mobility for students and faculty. GE serves as the primary unit responsible for improving the international student experience and engagement on campus, promoting faculty engagement in international initiatives, and developing strategic partnerships abroad. GE interacts with campus leadership on strategic planning and initiatives to elevate the reputation of UCSC globally. GE units include Global Learning, International Student and Scholar Services, Global Programs, and Global initiatives.

JOB SUMMARY

The Faculty Led Coordinator and Advisor reports to the Global Learning Director and uses skills as a seasoned, experienced study abroad professional to provide the full range of student services to students seeking acceptance to a study abroad and away program and manages a portfolio of faculty-led programs. Independently advises students and resolves student service-related issues on the full range of academic, cultural, and logistical issues inherent within any study abroad or away program.  The incumbent recommends solutions to program requirement issues. Advice may include not-clearly-defined programs such as independent study programs, interdisciplinary programs, or multiple programs. Works independently under general supervision. Advises faculty and management on a variety of student issues related to Global Learning programs. Recommends changes to policies, practices, and procedures within the context of UCSC Global Learning programs.   

UCSC Global Learning programs, such as faculty-led, student exchange, and internships are growing rapidly and are a priority for the Division and campus.  Although this position will primarily focus on advising for faculty-led programs, the incumbent may also advise students on the full range of Global Learning program opportunities, academic criteria, and other requirements to participate in programs.  The incumbent will develop in-depth knowledge of our current portfolio of 15-20 faculty-led programs, in addition to general knowledge of all Global Learning program options. They will maintain general knowledge of campus academic departments, schools and colleges, and major and degree requirements to match a student's interests, academic/linguistic/cultural preparation, and goals to the appropriate program. Advisers are expected to participate in general and program-specific student recruitment, to lead program development admissions, pre-departure preparation, health and safety requirements, and re-entry activities for students for program portfolios. 

Advisers participate in divisional initiatives and contribute to improving work processes within Global Engagement to achieve the divisional goals and objectives. As UCSC continues to develop relationships with institutions overseas, advisers work directly with faculty, campus departments, and international partners in the development of these opportunities and provide administrative oversight. 

Advisers are expected to demonstrate leadership and advanced problem-solving skills when addressing issues, and to assist with training and mentoring less experienced team members. Under general supervision, advisers work independently with regard to time management, program portfolio oversight, and student advising caseload   to meet office and program deadlines.

Salary Information: Salary Range: $59,7500 - $75,000 / Annually. Salary commensurate with skills, qualifications and experience.

JOB DUTIES

40% - Advising

• Applying professional Student Services concepts, provides the full range of student services to the student population served by the organization.
• Provides advice and guidance to students on all aspects of their study abroad or away academic experience, including requirements for campus departments or college that may be fulfilled while participating in a Global Learning program; academic and cultural preparedness, language preparation, course articulation, finances, logistical support, extracurricular pursuits, eligibility, maturity, returnee reentry and readjustment, mental and physical health needs while abroad or away, and personal issues related to program participation.
• Designs and conducts pre-departure orientations for students going abroad.
• Is responsible for matching students to appropriate program choices, including redirecting them in cases of over-enrollment, program closures, or other unusual circumstances.
• Provides detailed information and advice on the cultural context and academic environment of the receiving country and host institution.
• Determines barriers, distractions, and complications affecting a student's academic success abroad or away, helps students recognize key non-academic issues, and makes appropriate referrals for additional counseling and/ or assistance from other units.
• Provides advice to the Global Learning Director about student academic and cultural issues and recommends suggestions to improve programs and the student experience.

35% - Program Development and Management

• Provides administrative, operational, and logistical oversight for faculty-led Global Seminar program development and implementation, maintaining relationships with campus staff and faculty, overseas colleagues, and international vendors.
• Collaborates with faculty and third-party vendors to fully develop, manage and implement faculty-led Global Seminar programs; collaborates with Financial Manager on budget development; collaborates with faculty leaders on admission and recruitment processes;  develops logistics with partners abroad; oversees health and safety requirements and assesses risk, developing a crisis management plan in collaboration with the Global Learning Director and campus risk services office. 

10% - Application Process & Review

• Works with the divisional Systems Analyst to design the online application intake process for faculty-led Global Seminar programs.
• Review applications, evaluate qualifications for admission and makes selection decisions.
• Advises prospective applicants on necessary academic preparation, special eligibility requirements, and appropriateness of program as it pertains to the prospective applicant's goals, utilizing in-depth knowledge of the organization's admissions criteria.
• Conducts campus reporting on student enrollment.
• Writes case statements and advocates for students to be allowed to participate if they do not meet minimum requirements.
• Counsels students denied admission or not placed.
• Prepares admissions summaries and recommendations for action to the Faculty Director and Global Learning Director in cases of appeal.

10% - Program Recruitment

• Collaborates with the Outreach Coordinator to plan and implement customized outreach and recruitment activities for faculty-led Global Seminar programs as well as participates in and helps implement general outreach for all Global Learning programs.
• May participate in occasional overseas site visits to UCSC partners hosting study abroad programs to gain first-hand knowledge of academic offerings, housing, and student life in an effort to improve advising, pre-departure preparation, and orientation of outgoing students.  

5% - Divisional Support

• Serves as unit liaison with other campus units.
• Represents Global Learning unit at campus, system-wide or national meetings as needed.
• Supports and contributes to the overall goals of the Division as needed.
• Other duties as assigned.  

 

REQUIRED QUALIFICATIONS

• Bachelor's degree in related area and / or equivalent experience / training.
• Demonstrated expertise in advising techniques for study abroad programs in a higher education setting.
• Prior experience and demonstrated successful development and management of faculty-led study abroad programs.
• Prior experience using common computer application programs utilized in higher education settings.
• Skills in judgment and decision-making, problem-solving, and identifying measures to improve processes and/or services to students.  
• Demonstrated multicultural competencies; successful prior experience working with diverse populations.
• Effective written communication skills; demonstrated attention to detail.
• Effective verbal communication and presentation skills.
• Interpersonal skills to effectively communicate and successfully work with students, faculty, and other campus stakeholders.

 

PREFERRED QUALIFICATIONS

• Master's degree in related area and / or equivalent experience / training. 
• Prior experience and demonstrated skills in study abroad program development and management of exchanges, internships, and direct enroll programs.
• Prior experience working in database interface tools such as Horizons, Terra Dotta, or equivalent.
• Prior experience working with academic departments for academic integration in a higher education setting.
• Working knowledge of study abroad risk management.

 

SPECIAL CONDITIONS OF EMPLOYMENT
