STDT SVC SUPV 2 (Director Of Advising)Department Description
Department PurposeGraduate Studies advocates on behalf of graduate students and postdoctoral scholars, facilitates the schools, colleges, and programs engaged in delivering graduate education, and administers academic and administrative policies affecting graduate students and postdoctoral scholars in ways that foster a culturally and intellectually diverse environment characterized by high academic standards. Graduate Studies at UC Davis includes approximately 100 dynamic graduate degree programs, and a diverse and interactive student body from around the world. The Advising Services unit (AS) in the Graduate Studies office is a campus-wide service unit which is directly engaged with graduate program staff, students, and applicants on a constant basis and serves as the primary point of contact for these groups on issues related to graduate education. Graduate programs across campus report up to Graduate Studies via the Student and Postdoctoral Scholars Support Services unit for the, matriculation, and graduation of graduate students here at UC Davis. This position serves as the authoritative resource for graduate programs assigned to them and is responsible for reviewing all processes, requests, and decisions made by those programs. This position also represents the campus and Graduate Studies on campus-wide committees and works with other campus administrative and academic departments to ensure they are aware of policies, procedures, and actions related to graduate education.
Job Summary Serves as Director of Advising, a centralized campus service unit within Graduate Studies, and provides direct supervision to professional staff who are responsible for advising prospective and current graduate students across all academic graduate programs. Ensures unit effectiveness and accountability related to campus-wide goals regarding graduate education. Possesses expert-level subject matter knowledge regarding advising services. Functions as an advisor to Graduate Studies and the Vice Provost/Dean and liaison to administrative and academic units across campus. Identifies issues that have organizational impact and advises staff accordingly. Serves as campus expert on graduate advising services to all internal and external constituencies. Represents UC Davis on these topics at the statewide, national, and international level. Oversees all administrative operations for the advising unit, including fiscal management of the unit budget, human resources (hiring decisions, staff performance review, training and development, etc.).Develops long- and short-term organizational goals for the advising services unit, evaluating the effectiveness of current policies and procedures on an ongoing basis, and focusing on increasing efficiency and improving and supporting graduate education to achieve campus-wide goals. Exercises judgment to determine appropriate action. Formulates new policies and procedures related to graduate advising services as needed to improve unit effectiveness, reduces graduate program workload, and improves the graduate student experience. Analyzes and resolves problems and interprets existing policy as needed. Provides guidance and direction to subordinates on complex issues, exceptions to policy, precedent-setting actions, and proposed policy/process changes. This position is responsible for the enforcement of Graduate Studies policies and standards on behalf of the university and reviews and recommends changes to the executive leadership as appropriate.

MINIMUM QUALIFICATIONSMinimum Education/Experience: - Bachelor's degree in related area and/ or equivalent experience/ training.
- Experience with the day-to-day operations of an advising office with an understanding of student information from a systems' approach, of the graduate advising process as well as mediation, counseling and advising skills and experience to help others and to aid in necessary conflict resolution.
- Experience with student information systems and campus system integrations.
- Writing and editorial experience to produce cogent and persuasive reports, proposals and correspondence.
- Experience working collaboratively with faculty and senior campus administrators to achieve organizational objectives including experience working with staff and students from diverse cultural and ethnic backgrounds, as well as those who have been educationally or economically disadvantaged
Minimum Knowledge, Skills, and Abilities (KSA) : - Advanced knowledge of advising and counseling techniques, theory, policy, practice and evaluation in a University environment.
- Significant knowledge of the mission and goals of advising and academic services and advises other unit managers (including executive leadership) regarding topics related to degree completion at an AAU university.
- Significant ability to strategically plan, organize, manage, and coordinate multiple projects, budgets, and teams with varied and often competing deadlines.
- Knowledge and understanding of computing technology to provide guidance and establish specifications for the design and implementation of IT systems for use in admissions and academic services.
- Interpersonal communication skills to work with applicants, students, faculty, staff and administrators to resolve complex situations that require combining knowledge, diplomacy and analytical skills to find solutions within University policy.
- Skills to manipulate databases, and produce reports, graphs and spreadsheets.
PREFERRED QUALIFICATIONSPreferred Education/Experience: - Advanced degree in higher education administration, a related field or an equivalent combination of education and/or related experience.
- Experience in graduate education administration.3-5 years of advising or academic experience in higher education with progressive responsibilities.
- Experience providing advice to deans and other high-level administrators on existing policies/regulations and advice for improvements and revisions.
- Broad range of experience within the advising, academic and/or student services area.
Preferred Knowledge, Skills, and Abilities (KSA) : - Leadership skills and knowledge of personnel management policies and practices to provide oversight and direction for professional support staff. Experience working with full independence and decision-making.
- Knowledge of statewide, national, and international higher education systems.
- Team building and leadership skills to foster and promote a service-oriented team environment.
