The Office of Student Services (OSS) in the College of Education serves as the central office of support for undergraduate and graduate students as well as faculty and staff. Services include, but are not limited to, advising for prospective and current students, degree completion, registration troubleshooting, professional and career development, and helping to connect students to UW resources.
Reporting to the Assistant Dean for Academic & Student Affairs, the Associate Director of Graduate Academic and Student Support Service serves a key leadership role in the Office of Student Services team by providing an extensive and broad-reaching system of support to prospective students, applicants, current students, and faculty. The Associate Director will provide leadership and expertise in the office through a set of responsibilities that include:
Counseling current graduate studies students (Master of Education, Educational Specialist, Doctor of Education, and Doctor of Philosophy) concerning degree requirements, procedures, and resources (including courses, registration, degree milestones, funding, and referrals to other UW offices and services) in a way that complements and supports the academic advising work of the faculty. Managing the cultivation of contacts with prospective graduate students and recruitment for MEd, EdS, and doctoral programs, in collaboration with staff and faculty in the College’s graduate programs and partners. Supervising graduate students, providing leadership, and ensuring functional office operations (schedules, budgets, etc.) for the Office of Student Diversity and Inclusion (OSDI) as it promotes community and services for historically excluded student populations. Developing strategic recruitment plans for graduate studies programs, and overseeing the implementation of those plans, including in-person and online information sessions. Coordinating professional and career development activities for students in the College’s MEd, EdS, and doctoral programs, with particular attention to BIPOC students, international students, and other student populations that are underrepresented in the pursuit of graduate studies. Collaborating with faculty and staff to improve graduate student experiences both in and out of the classroom, with particular attention to issues around climate.
The Associate Director will lead efforts to attend to the professional, academic, and personal growth of graduate students. An important function of the position is to enhance the experience of prospective and current graduate students, with an emphasis on increasing recruitment and retention of high-caliber graduate students, including BIPOC students, international students, and other student populations that are underrepresented in the pursuit of graduate studies. The Associate Director will use a deep understanding of multiple graduate programs to interpret interests of prospective students and determine congruence of those interests with graduate programs and with faculty research agendas. In addition, the Associate Director will support current students with their concerns and determine appropriate courses of action, including referrals, and provide expertise and guidance on relevant University and College policies and procedures.
RESPONSIBILITIES:
Unify Graduate Advising Efforts for the College of Education
Understand the “big picture” of graduate advising within the CoE; create alignment between state and fee-based teams, balance resources across program areas, and promote collaboration. Collaborate with Graduate Faculty/Program Directors to establish best practices for OSS advising and support services for prospective and current graduate students across all program areas. Manage the college’s recruitment calendar, including all prospective student programming, application bootcamps, and Prospective Student Days. Coordinate the college’s annual New Graduate Student orientation and welcome events, Research and Inquiry Conference, and quarterly master’s examinations. As necessary, standardize the college’s approach to communications throughout the recruitment & admissions process. Set expectations for regular communication with faculty and students regarding application, admission, milestones, and degree progress/completion. Bridge approaches across programs (state and fee based) to enable collective and cohesive systems for student enrollment, retention, and completion. Provide consultation with faculty about graduate school policy and procedures to ensure best practices are followed. Attend Area Chair and faculty committee meetings to ensure that faculty are up to date on pertinent policies and procedures to advise students. Guide/support graduate advisors through complex student support experiences.
Support Recruitment and Admissions Processes
Review recruitment materials to ensure that there is accuracy and consistency with current requirements and outcomes for certification. Work with the Director of Admissions and Enrollment to ensure that applications are set up to receive all required materials & advisors are ready to communicate. Provide feedback to Slate team on prospect data captures. Inform the CRM communication strategy for graduate recruitment efforts. Provide CRM event management such as information sessions, recruitment event yields. Secure ongoing training and maintain strong best practices for advising. Communicate with prospective students and applicants with complex questions, when appropriate.
Lead OSS Graduate Advising
Provide direct supervision and/or leadership to staff in the college who engage in graduate advising. Assess practices, disseminate information, and provide oversight. Maintain accurate information regarding recruitment and retention on the website. Represent graduate student programs in OSS leadership meetings. Serve as CoE liaison with other services/departments across campus. Provide supplemental advising to masters students on academic paths and coursework selection. Support doctoral student advising.
Support Graduate Student Enrollment & Retention
Communicate directly to graduate students and faculty advisors throughout the graduate student onboarding process. Collaborate with the Director of Admissions and Enrollment to advise students from admission to degree completion, track and manage milestones, quarterly exam and degree requests. Work with faculty to establish consistent M.Ed. courses of study to help align staff and faculty advising and better support students through their programs. Provide opportunities for personal and community development - including peer-to-peer mentoring, trainings/workshops, career development, and community events Serve as the primary respondent to OSS Student Support Requests (SSR) for graduate studies students. Support the facilitation of the SSR team. Work with the Director of Admissions and Enrollment to establish standards for tracking student degree progress and communicating with students/faculty about progress. Develop a communication calendar specific to dates, deadlines, and degree milestones. Create and send quarterly emails to faculty and students about policies, procedures, and deadlines for degree completion. Manage the college’s On-Leave students, communicate with on-leave students, and work with them on their return to study.
Direct the Office of Student Diversity & Inclusion
Direct the vision and implementation of the Office of Student Diversity & Inclusion. Align OSDI’s annual goals to support the broader DEI vision for the CoE. Supervise three graduate staff assistants and one undergraduate intern. Provide support to the OSDI team as they create and implement annual programming for the college’s BIPOC & International students. Manage the physical space of the OSDI. Establish and maintain operating standards, staffing, supplies, and cleanliness. Listen to BIPOC & International students about their needs. Represent the interests of diverse students within the college community.
Other duties as assigned
MINIMUM REQUIREMENTS:
Master’s degree in education, social sciences, or a related field, to include five years of experience working with students in an advisory, recruiting, or counseling capacity. Knowledge of effective recruiting and retention practices to increase diversity, as well as the ability to develop and implement new initiatives in this area. Demonstrated ability to use relational databases, web-based technologies, and an ability to integrate these technologies into educational and student-support environments.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
ADDITIONAL REQUIREMENTS:
Excellent customer service and interpersonal communication skills, including experience working with individuals from diverse backgrounds. Proficiency with Microsoft Office (Word, Excel, Access), Google Suite, relational databases, multi-user calendaring systems, online communications (email and instant messaging). Prior supervisory experience.
