Job Summary: The Assistant Director of Operations and Special Events serves in the Division of Student Affairs at St. John's University and is responsible for planning and overseeing the logistics of special events in conjunction with Campus Activities, Operations, New Student Orientation and university partners. The Assistant Director will assist with the supervision, management, training and development of approximately 150 student employees and graduate assistants. This position will also serve as the payroll manager and liaison to Human Resources to ensure accuracy and adherence to procedures. This position requires non-traditional hours as well as evening and weekends.
Essential Functions: The Assistant Director Operations and Special Events will oversee the day-to-day management of the event support staff, assist with advising student organizations, and support program initiatives for first year students that build community and acclimate students to St. John's. The successful candidate will plan and execute special events for New Student Orientation, move-in and family weekend.
- Create a work schedule for student employees; assign and monitor payroll and staffing of approximately 70 shifts/week with up to 9 students assigned to each shift
- Responsible for biweekly payroll reports and chargebacks from student organizations events
- Serve as a liaison to Human Resources to clarify and convey updated payroll guidelines and procedures to respective supervisors of approximately 150 student employees (i.e. recording accurate working hours, hiring protocol, termination procedures)
- Assist the Associate Director of Operations with the management of the Payroll Budget for Student Employees in the Division of Student Affairs
- Coordinate the on-boarding and supervision of the Operations Event Support Staff
- Oversee the selection process for the Operations Event Support staff. Select; recruit, orient, train, manage, supervise, and evaluate student employees
- Develop, implement, and evaluate year-round training sessions for Operations staff which focuses on customer service, professionalism, and clarification of job responsibilities/expectations.
- Support Campus Activities and Student Organization Events and Programming
- Assist with the advisement and mentorship of approximately 15 to 20 student groups.
- Oversee event logistics for department and student groups events (setup, breakdown, attendance tracking, monitoring of room capacities, accounting of money collection, patron safety, and policies) within the D 'Angelo Center.
- Ensure staffing as necessary for on-site event management of major events, with special focus on high quality service standards and customer satisfaction.
- Provide strategic leadership and supervision of the New Student Orientation program which consists of Freshman, Transfer, International, and Graduate student orientation programs and Parent/Family programs
- Support the overall management and operation of new student programming, Welcome Week, Explore and More, Parent University, and others.
- Plan and implement several on-going new student programs and focus groups to assist students in making a smooth transition into St. John's and becoming aware of available services throughout the University
- Collaborate with Marketing and Communications to design, update and print all printed materials for all events and programs.
- Coordinate, compile, and report statistical data regarding all programs to measure effectiveness, satisfaction, and attendance

They will be able to build and sustain strong partnerships with campus partners and outside vendors to effectively engage first year, transfer, graduate, and international students, and exposing them to the traditions and value of a St. John's education.
Work Environment This position operates in a professional office environment and the incumbent is required to use standard office equipment such as personal computers, printers, etc. While performing the duties of this job, the employee is occasionally required to stand; move about; sit; to carry work; reach with hands and arms; climb stairs; communicate. The employee must occasionally lift or move up to 50 lbs.
Position Type/Expected Hours of Work This position is full-time, Monday through Friday, 8:30 a.m. to 4:30 p.m. and will require evening and weekend hours. Travel is primarily local and may include visits to the other NY campuses.
Required Education and Experience: - Experience and/or background in student development, new student initiatives, student engagement and leadership development.
- Master's degree in higher education, college student personnel, or counseling required.
- 1 to 3 years of professional experience
- Supervisory experience, evidence of strong organizational skills, excellent written and verbal communication skills, computer literacy and/or knowledge of database/information systems extremely helpful and the ability to establish relationships and collaborate with faculty, staff and relate effectively with students are strongly preferred.
