Summary of Position:
Under the general direction of the Department Director and Coordinator, assist in the overall coordination of functions/activities within the department. Work independently to coordinate the functions of the Registered Student Organizations (RSO), and the budget and process of the Student Activity Fund (SAF).
Satisfactory completion of two years college or equivalent such as military technical training or business/technical schooling.
Required Work Experience:
Two years full time secretarial or office administrative work experience to include bookkeeping and public contact.

Answer inquiries from a variety of internal and external sources and provide explanation and interpretation of policies and procedures.
Assist with/coordinate the production of major entertainment events such as concerts, Homecoming, etc. Review and negotiate contracts, determining technical needs, hospitality needs, arrange security, etc. May have to attend a number of these events.
Collect, retrieve, organize data for coordination of activities of, and provide advice to, Registered Student Organizations (RSO) on issues such as eligibility lists, programming needs and special events, and policy interpretation.
Maintain status of RSO eligibility for Student Activity Fund (SAF) monies, assist students with SAF funding requests.
Monitor activities on event days and provide assistance to insure proper functioning.
Assist with and approve event registrations for RSOs and campus departments.
Assist the Director and Coordinator with processing contracts and payments for vendors.
Assist with coordinating traditional events including, but not limited to, Bulldog Beginnings, Homecoming, and Spring Welcome.
Perform all duties and responsibilities as defined in the Secretary Level 1 and 2 position descriptions.
Process all financial transactions for SAF allocations such as travel, purchase orders, POWC’s, purchasing and dining services cards, interdepartmental requisitions, etc.
Produce correspondence relating to SAF committee minutes, awards, etc.
Review and screen all campus flyer postings
Train and schedule student workers at the Center for Student Involvement Desk.
Other duties may be assigned.
Carries out these responsibilities in accordance with University policies and applicable laws.
Maintain the confidentiality of designated information.
Reports to immediate supervisor.
Trains and supervises non-bargaining unit clerical and student employees.
Demonstrates an understanding of diversity, equity, and inclusion, especially in working relationships with students, faculty, staff and community members.
Attend meetings and conferences in the absence of the director and/or coordinator.
Skills and Abilities:
Communicate effectively with a variety of students, faculty, staff, alumni, and visitors in a variety of situations.
Exercise good judgment and tact in dealing with many different publics.
Input, retrieve, download, merge, output and maintain information from various software programs and systems.
Maintain the confidentiality of highly sensitive personal information.
Meet deadlines and demonstrate excellent organization skills.
Ability to operate all standard office machinery and equipment.
Research, collect, analyze and produce reports.
