Job Summary:
Reports to Director Executive LLM & Tax Programs. Responsible for managing day-to-day operations and enhance operational excellence of 4 Executive LLM programs (Chicago, Tel Aviv, Madrid, and Seoul). Ensures the effective, compliant, & efficient daily management of operational, financial, & business functions in support of the department’s mission & in coordination with law school offices such as Admissions, Registrar, Alumni Relations and Development, Finance, Student Affairs, and Administrative Services. Under the direction of the Senior Associate Dean and Director, the Program Coordinator may lead special projects and initiatives, including those related to operational improvement, electronic communication, and online delivery of education. In connection with annual fiscal processes, the Program Coordinator will assist the Director with financial forecasting and maintaining program budgets. The Program Coordinator also plans several events, including orientation, and on-campus sessions for all executive LLM programs.
Please note: This position may (on occasion) require work outside the normal 9-5 business hours, due to the time difference in the locations of our partner institutions (Korea, Spain, and Israel). In-person events, as well as online events may be conducted after 5:00pm Chicago time.
Specific Responsibilities:
Administration
- Manages day-to-day operations.
- Ensures that program mission, values, guidelines, policies & procedures are implemented & maintained.
- Manages design and development of program databases; compiles & analyzes data; prepares reports.
- Reviews processes and recommends changes to incorporate state-of-the-art technology as appropriate into administrative, recruitment, marketing, and educational components.
- Identifies service improvement opportunities that will better enable program to achieve its goals and objectives.
Budgets & Financial
- Supports accurate, efficient and compliant workflow of all transactional processes across seven budgets.
- Reviews exception forms and reimbursements that require special attention.
- Maintains departmental procurement card and processes faculty payments and expenses upon completion of their travel.
Communication, Outreach & Recruitment
- Keeps contact lists current and ensures that all advertising and marketing materials accurately represent programs.
- Pursues opportunities for alumni contact & solicitation.
- Creates a quarterly newsletter for the ELLM alumni.
- Serves as first line of contact to the Executive LLM Chicago program by providing accurate information regarding the program, its policies and procedures.
- Collaborates on recruitment, application evaluation, interview, selection and notification of students.
- Implements admissions criteria in accordance with associated NU policy.
- Monitors and updates ELLM websites.
Faculty Support
- Supports faculty by ensuring course materials, grades and evaluations are submitted by program deadlines and assists with Canvas.
- Submits faculty additional pay forms.
- Answers general questions about programing, schedules and student issues.
Program Development
- Reviews programs to increase efficiencies to support growth.
- Collaborates on development and implementation of new program or project initiatives.
- Fosters relationships with partner institutions and coordinates logistical support.
Regulatory Compliance
- Manages compliance with all applicable federal, state, local & NU laws, regulations, policies & procedures, with specific focus on F-1 and J-1 applicants
Strategic Planning
- Supports implementation of strategic plans.
- Coordinate planning with institute leadership & key faculty & staff.
- Provides advice & counsel & recommends changes & improvements to functional operations to better meet organizational needs & objectives.
Student Support
- Manages and completes program logistical details relating to students such as scheduling, orientation, curriculum, registration, enrollment, course evaluations, and degree audits.
- Acts as a liaison between student and law school administration
Miscellaneous
- Performs other duties as assigned.
Minimum Qualifications:
- Successful completion of a full 4-year course of study in an accredited college or university leading to a bachelor's or higher degree; OR appropriate combination of education and experience.
- 1 year program/project administration or other relevant experience.
Minimum Competencies: (Skills, knowledge, and abilities.)
- Bachelor’s degree or the equivalent combination of education, experience, and training from which comparable skills can be acquired.
- 3-5 years of experience working in an administrative capacity, preferably in an academic setting.

- Excellent organizational and prioritization skills.
- Ability to coordinate and handle multiple activities relating to an educational program.
- Must to be able to work independently, project a professional demeanor, and be proactive about identifying and resolving potential problems and financial discrepancies.
- Must be self-directed and willing to identify and assume new responsibilities as the needs of the program change and grow.
- Strong computer skills.
- Must be a self-starter and able to work with confidential information discretely.
- Previous supervisory experience.
- Previous experience working with financial data and creating reports.
