The University of Southern California (USC) is the largest private employer in the city of Los Angeles. The Department of Chemistry is in the Dana and David Dornsife College of Letters, Arts, and Sciences. It currently is home to approximately 300 undergraduates, 190 graduate students, 38 faculty members, and 20 staff members. We seek a Graduate Student Services Advisor, who will coordinate both the recruitment of all incoming graduate students and the management of all current graduate students in the department.
Basic Job Roles
Serve as a central figure in the department's wide-ranging graduate student recruitment effort. This includes, but is not limited to, promotion of the Chemistry Graduate Program through various means; management of all student application data; supporting faculty evaluation of applicants including Zoom meetings with international applicants; organizing and assisting in on-campus recruitment events in which groups of students (typically 25-35) are hosted for 2-plus days during our open house weekends; organizing and overseeing the enrollment and onboarding of all incoming graduate students.
Organize and support the administration of all current graduate students. This includes, but is not limited to, providing guidance and support for graduate student degree progress such as course enrollment and requirements, screening exams, qualifying exams, and thesis defense; providing support for administrative procedures such as internship, leave, and visa renewal; organizing and managing a comprehensive data base on the status of all current graduate students; serving as internal resource to students on departmental and university procedures.
Excellent interpersonal skills with a demonstrated ability to deliver consistent and excellent customer (student) service. Excellent oral, written and presentation skills.
Strong analytical and problem-solving skills. Detailed oriented.
Demonstrated skill on data management (working with Excel, Google docs, etc.). Experience on managing web and social media is highly desirable.
Excellent time management and organizational skills. Strong ability to manage multiple projects adhering to strict deadlines and prioritizing appropriately. Ability to work both independently and as a team member.
Event organization experience is highly desirable.
Salary range: $28 - $32 per hour - will commensurate with skills and experience
