Southside Virginia Community College is seeking applicants for the position of Administrative Assistant for our Campus Within Walls (CWW) program. SVCC's Campus Within Walls program provides second chances through higher education to incarcerated students. Through college education, Campus Within Walls provides our students with the tools they need to successfully re-enter society and become productive citizens.The Administrative Assistant will assist the Campus Within Walls Coordinator with the administration and execution of program policies and procedures, playing an integral part in the composition and application of registration, correspondence, reporting, and other instructional functions; Process budget and hiring requests as necessary; Interact with stakeholders professionally regarding the program, including adjunct faculty, Virginia Department of Corrections staff, and students. This position provides administrative and direct support to the CWW Coordinator and program stakeholders to assist with the daily operations of the program. Major duties include, but are not limited to, coordinating with respective departments to assist with admissions, financial aid, and registration for justice involved students, tracking students progress through student services and PeopleSoft, generating reports and invoices, assisting adjuncts, ordering and maintaining office supplies and equipment, preparing correspondence, responding to inquiries, and arranging exchange of materials at partner locations. Core Responsibilities:Administrative Assistance: Provides administrative assistance to the Campus Within Walls Administrator and program faculty; Prepares necessary documentation and processes materials related to the implementation of courses in multiple sites; Organizes and maintains records related to the programGeneral Faculty Support: Provides general faculty support so that reasonable requests are granted in a timely and complete manner; Oversees procedural needs of adjunct faculty for various correctional sites; Does routine filing and monitors material distribution of textbooks, syllabi, and general supplies; Adjusts enrollment and enrollment changes in PeopleSoft; Uses PeopleSoft SIS system to query and access information as neededReporting (Financial, Grant, and Operational): Compiles, tracks, and monitors all budgetary items related to the Campus Within Walls program, which can include faculty contracts, purchasing, grant spending, and contractual obligations; Notifies the Coordinator of discrepancies or errors and provides reminders for upcoming deadlines related to grant funding; Works with the business office, purchasing, shared services, financial aid, and other related departments to resolve issues and provide timely assistanceCustomer Service: Demonstrates oral and written communication and interpersonal skills with all stakeholders and participants of the Campus Within Walls program; Whether through direct and indirect inquiries and requests, exhibits the ability to prioritize and problem solve independently to resolve issues and prevent complications
