Brief Summary of Work for this position:
The Administrative Support Associate works with the Counseling Center team in the UNCW counseling center.
This position reports to the Director, Counseling Center & University Testing Services. The Counseling Center Administrative Associate functions as support of the clinical and administrative staff in a fast- paced college counseling center.
The Administrative Support Associate duties include:
- Responsible for greeting patients and visitors, answering the phone, scheduling appointments, checking in patients
- Effectively communicates with students, families, visitors and UNCW Campus Police, Health Center providers, staff and faculty both in person and on the telephone
- Provides accurate information regarding Counseling Center services, including intake appointments, programs and groups
- Maintains a positive, professional and respectful manner with a focus on customer service and respect patient confidentiality; being able to explain why confidentiality is essential as well as what are the exceptions
- Develops and maintains proficiency and accuracy in using Titanium scheduling and medical records system. Scans client documents into the Titanium medical records system
- Able to function equally well as part of a team as well as independently
- Shows flexibility when faced with multiple competing priorities while functioning in a fast paced work environment where interruptions are frequent
- Attends to all medical records requests and incoming faxes in a timely and accurate manner
- Assists with special projects
- Provides assistance to 15 psychological providers/staff activities with data entry, mail distribution, and registration of students
- Other duties as assigned
Minimum Education and Experience Requirements:
High school diploma or equivalency; or demonstrated possession of the competencies necessary to perform the work.
Preferred Education, Knowledge, Skills & Experience :
- Previous experience working in a college health setting or a medical office
- Previous experience working with Banner and/or a medical appointment system

Primary Purpose of Organizational Unit:
The Counseling Center is the main student mental health resource on campus and a key partner in the University's efforts to advance health and wellbeing for all students.
The Center is firmly rooted in a student affairs / developmental tradition and it is a strong collaborator with other student affairs and academic affairs departments. University Testing Services provides paper-based and computer based testing and proctoring services (high, medium, and low stakes testing) to the campus and regional community. The service operates a satellite testing center located aboard the Marine Corps Base-Camp Lejeune.
