STUDENT GOVERNMENTS, AUXILIARIES AND SERVICES ASSISTANT
Hiring Salary Range: $52,638 - $55,102 /year
The Student Governments, Auxiliaries and Services Assistant, under the supervision of the Director of Student Governments, Auxiliaries and Services, provides administrative support for 50+ elected and appointed officials to the ASUCSD and GPSA Student Governments. Schedule appointments, type correspondence, maintain files, create reports, and duplicate materials. Serve as clerk to Judicial Board and Elections Board of inquiry. Attend other meetings relevant to the A. S. and GPSA, acting as committee clerk as needed.
Maintain working relationships with University and System-wide administrative representatives. Responsible for maintaining a working relationship with Student Life HR to ensure that students are being hired and onboarded in an efficient manner. Also, responsible for reviewing and updating hiring procedures to ensure accuracy and efficiency, as needed. Serves as the point of contact and coordinator for all department travel.
QUALIFICATIONS
- Minimum two (2) years of experience administratively supporting high-level positions with strong demonstrated administrative skills. Experience working with scheduling appointments, preparing and maintaining calendars, and planning and reconciling travel arrangements.
- Excellent writing ability to independently compose letters, memos, and other correspondence, subject to review by a supervisor, using correct spelling, grammar, punctuation, composition, text editing, and proofreading skills.
- Proficient in Microsoft Suite (Excel, Word, PowerPoint), Google (Docs, Sheets, Slides, One Drive), Calendar management software (Gmail, Outlook), and Adobe Sign.
- Effective interpersonal, oral, and written communication skills, including diplomacy, tact, and flexibility. Proven ability to interact with all organizational levels and to communicate effectively and professionally both in person and via phone.
- Proven skill at organizing and prioritizing tasks with the ability to work under pressure to meet deadlines and adapt to changing priorities. Ability to multi-task in order to effectively handle diverse responsibilities and problems simultaneously, often with shifting priorities.
- Ability to effectively select, hire, delegate, train, supervise, motivate and evaluate students and volunteer personnel of both the beginner and para-professional levels.
- Experience with video conferencing software, i.e., Zoom, MS Teams, and Google Meet.
- Demonstrated research abilities utilizing various resources to obtain information necessary to attain established objectives. Proven ability to assimilate information and to compile and present in a complete and cohesive manner. Ability to make recommendations as needed.
- Must be able to maintain the confidentiality of information and materials.
SPECIAL CONDITIONS
- Occasional overtime may be required.
- Must be able to attend Wednesday evening meetings.
