Job Description: Basic Function and Responsibility:
Under administrative supervision, coordinate employee or student compliance activities in accordance with the Illinois Vaccine Mandate for colleges and universities. Respond to questions and inquiries, assist students with the meeting of compliance requirements, monitor and assist with compliance reporting, follow up and rectify any challenges, issues, or needs with relevant offices, faculty, and students.
Characteristic Duties and Responsibilities:
- Serve as the first point of contact for employee or student questions and inquiries regarding compliance needs and requirements. Provide clarity on the latest mandate requirements, troubleshoot any challenges or assist with the uploading of required documentation to the Oakton secure portal, recommend any resources that would help employees or students to better comply, and escalate any significant issues, needs, or concerns to senior leadership when necessary.
- Utilize multiple modes of communication (e.g., email, voice, text) to follow up on weekly compliance issues and needs
- Coordinate compliance activities (e.g., reviewing and uploading cards or the verifying and uploading of test results) for various online and in-person events (e.g., Adult Education Registration, on campus events, etc)
- Maintain oversight of the weekly employee or student compliance report for one or more areas of the college. Ensure accuracy of compliance data and coordinate with IT and other internal partners (e.g., Student Affairs, Academic Affairs, Continuing Education, Human Resources to rectify any inaccurate or missing information from the report.
- Maintain effective relationships and proactively work with various offices, faculty, and management on any needed compliance activities
- Assist with the weekly reporting of compliance rates. Recommend any necessary changes to improve compliance rates.
- Perform other job related duties as assigned.
Supervision Received:
Functional supervision is received from the department Supervisor. Administrative supervision is received from the department Administrator.

Job Requirements:- High School diploma required. Bachelor's degree preferred; or an equivalent combination of training and experience from which comparable knowledge and abilities is required.
- Two years in an office or customer service environment required.
- Ability to effectively communicate through email, video calls, phone calls, and in-person.
- Competency in the use of a computer, including Microsoft Office and related software. Excel proficiency required. Ability to understand, use, and help others use basic to intermediate compliance software.
- Ability to interact professionally and tactfully with people of different levels of education, cultural backgrounds, and life experiences, and to exhibit an adequate level of respect to fellow employees and the College community at large.
- Ability to work efficiently in a high-pressure, face-paced environment.
- Ability to listen empathetically and de-escalate potentially stressful conversations.
- Strong attention to detail, ability to multitask, and high-level organizational skills.
- Previous experience working in an educational or student service type position preferred.
Physical Demands:
Mobility to move from building to building on-Campus and off campus. Work is performed in a general office environment and sedentary in nature. Little or no exposure to adverse working conditions.
