Program Development CoordinatorAbout the OpportunitySummary:The Global Experience Office (GEO) is a central office of global education at Northeastern University, committed to ensuring that every Northeastern student has an opportunity to engage in intellectually challenging and culturally enriching experiences throughout the world. To achieve this, GEO partners with Northeastern colleges and units to integrate meaningful global experiences into their curricula and to enhance their capacity through global mobility. Northeastern's signature programs, including Dialogues of Civilizations, Global Quest, The N.U.in Program, and Semester-In, are carefully designed to reflect the Northeastern University (NU) global mission, complement students' on-campus studies, deepen students' knowledge of the world and their chosen field of study, and help students develop intercultural and political sensitivity, utilize and strengthen foreign language skills, explore global career options, and grow as individuals. Through these programs, GEO facilitates global experiences for over 3,800 NU students and 200 additional foreign incoming students.
With supervision from the Director of Program Development, the Program Development Coordinator serves as one of the main points of support for the Program Development team and actively liaises with NU faculty and international partners. This position is responsible for developing and implementing project management tools (e.g., Smartsheet) and maintains the inputs, templates, and notifications for 100+ programs. The Program Development Coordinator must have exceptional organizational skills and the ability to balance a high volume of details across various types of evolving short term and long-term global experience programs. The Program Development Coordinator leads troubleshooting for issues in Salesforce and is one of the key liaisons with Information Technology Services. The role is also responsible for managing the DOC proposal flow in Salesforce. The position is responsible for coordinating program design activities, arranging international partner meetings/visits, supporting faculty-led programs by researching and contacting vendors, assisting with researching global partners for program design, and co-facilitating Program Assistant training. The Coordinator of Program Development also supports various committees and working groups.
Qualifications:- Bachelor's Degree plus 2+ years of related experience required, 2+ years of university-level study abroad office experience preferred.
- Previous experience studying abroad at the undergraduate level or time living abroad preferred, but not required.
- Must have demonstrated flexibility and ability to adapt to a varying range of needs
- Exceptional time management, multitasking, organizational skills, and attention to detail
- Strong interpersonal, oral, and written communication skills.
- Ability to interact with study abroad program representatives, faculty, and students in a highly professional manner with an understanding of protocol and confidentiality.
- Dependability is essential.
- Must be able to maintain a high level of confidentiality.
- Proficiency in Excel and other Microsoft Office software is required. Comfort with learning new systems and software is required. Familiarity with Salesforce, Smartsheet, SharePoint, and Terra Dotta is strongly preferred.
- Ability to work both independently and as a member of a team.
- Must effectively represent the University to outside institutions and universities
Responsibilities:Project Coordination -40%- Develop, implement, and manage tools (such as Smartsheet) to coordinate project management inputs, templates and notifications to support the Program Development Managers for 100+ programs
- Build and manage the Faculty-Led Programs SharePoint site and site contents with complex permissions and templates for several departments and 100+ programs, which requires updates and new permissions annually.
- Maintain the Program Assistant handbook and training, and collaborate on continuous improvements for PA training
- Manage updates and revisions to the faculty-led program handbook
- Update and co-design various Program Development Faculty trainings, including the Program Assistant Training.
- Collaborate with other GEO staff to update student, faculty, and PA evaluations annually.
- Create surveys on Qualtrics for the PD team, as needed
Program Design and Development - 40% - Create program brochure pages in Terra Dotta and update templates annually
- Serve as Salesforce administrator for Program Development team, including, but not limited to:
- Run reports and/or analyze data, as needed
- Lead troubleshooting of issues with DOC proposal cycle, liaising with ITS as applicable
- Update all Course Approver & Deans Approval workflows
- Copy DOC proposal language
- Complete program indexing each term
- Attach student evaluations to proposals
- Assist in analyzing data
- Maintain Smartsheet partnership database for program and academic support.
- Assist with managing of travel registry for faculty-led programs.
- Research global partners for program design or logistical support for faculty-led programs
General Administrative Duties -10%- Schedule meetings and events (including international partner visits), reserve rooms, create event registration and feedback forms, and order food for GEO Program Development activities.
- Oversee applicable Standard Operating Procedures including creating SOPs and guides for new processes.
- Provide guidance to student workers in the Program Design function.
- Submit IT requests for the Program Development team and liaise with ITS representatives for Salesforce updates and support
- Keep minutes for various committee meetings and GEO staff meetings.
- Assist with office support and customer service as needed.
Other -10%- Participate in GEO and university projects as necessary.
- Sit on GEO committees and as necessary.
- Liaise with other Northeastern administrative units, as needed.
- Other duties and projects as assigned.
